NYIT's College of Engineering and Computing Sciences seeks an Administrative Assistant located at the New York City campus.


Report to the Manhattan Chair of Undergraduate and Graduate Programs in ECE (Electrical and Computer Engineering) and CS (Computer Science) :

  • Assist with student advisement including international student cohorts and course and faculty schedules planning.

  • Responsible for office organization and filing.

  • Assistance with assessment and accreditation reports and materials in NY (ABET) and globally.

  • Responsible for requisitions and invoices.

  • Competency with NYIT Software Systems: PeopleSoft; Faculty Compensation (FacComp); Capital Budget (CPRS); Oracle Recruitment Authorizations (RAs) and other entries as needed.

  • Assist with FT and Adjunct faculty and staff hiring.

  • Perform other duties as assigned by the Chair and Dean.

Report to the Dean, College of Engineering and Computing Sciences:

  • Assist with student recruitment.

  • Outreach communications to students, faculty, and external stakeholders (industry advisory board, alumni, and employers).

  • Participate in student retention activities, the Dean's Honors programs, and the BS-MS Accelerated Program.

  • Attend events at both NY campuses (New York City and Long Island).

Work as a liaison between different departments within and outside of the College of Engineering and Computing Sciences and other NYIT offices (i.e. Career Services, Enrollment Services, Student Affairs, Financial Affairs).


A Bachelor's degree is preferred. If Associate's degree is the highest degree, we would require 1-2 years of Administrative support experience; if a high school diploma is the highest degree, we would require 2-3 years of Administrative support expereince. Proficiency in Microsoft Word and Excel and strong computer, organizational and interpersonal skills are required.

Essential Functions: * Builds relationships to ensure clear and positive communication amongst stakeholders. * Provides administrative and clerical support for special projects, thinking through each step of a project and finding thoughtful solutions. * Practices good judgment, discretion, and confidentiality of sensitive information. * Demonstrates exceptional customer service skills, via phone, written communication and in person, with our internal and external partners. * Manages the calendar for leader using Outlook and screen and direct incoming phone calls. * Manages internal and external meetings to include - tracks responses to meeting requests, prepares and distributes meeting materials, arranges all necessary technology including web and video conferencing, ensures ordering and delivery of catering. * Liaisons with outside parties to manage appointments and meetings outside the office. * Schedules and organizes travel, and department activities, including coordinating meeting space, catering and audio/visual equipment for meetings on location and off location. * Maintains necessary office supplies and builds partnerships to ensure all equipment is properly configured, installed, and maintained. * Coordinates domestic and international travel arrangements for personal and business trips * Reconciles travel and monthly expenses. * Establishes, develops, maintains and updates filing system with electronic backup. * Regular, consistent and punctual attendance. Must be able to work variable schedule(s) and overtime as necessary. Qualifications: Education/Experience: * Bachelor's degree a plus. * Retail experience a plus. * Minimum of 3 years of experience as an executive or administrative assistant supporting senior executives. Communication Skills: * Excellent written and verbal communication skills including the ability to draft and edit written correspondence. * Technical understanding of printing and video media a plus. Mathematical Skills: * Basic math functions such as addition, subtraction, multiplication, and division. Reasoning Ability: * Must be able to work independently with minimal supervision and make sound decisions. Physical Demands: * This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking. * May occasionally involve stooping, kneeling, or crouching. * May involve close vision, color vision, depth perception, focus adjustment, and viewing computer monitor for extended periods of time. * Involves manual dexterity for using keyboard, mouse, and other office equipment. * May involve moving or lifting items under 10 pounds.. Other Skills: * Strong organizational skills and follow-through with great attention to detail and accuracy. * Highly effective time management and communication skills. * Excellent computer skills, including Microsoft Office Suite (Excel, Word, PowerPoint, Access). * The ability to interact effectively with management at all levels, as well as the ability to function independently, and as part of a team, in a demanding environment is essential. * Excellent trouble shooting and decision making skills. Ability to define and resolve problems efficiently and amicably. Work Hours: * Work Hours most often occur on Monday through Friday between the hours of 7am and 6pm. * Ability to work a flexible schedule based on department and store/company needs is appreciated.
