A Boothworks Administrative Assistant is responsible for providing high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as pack slip, receipt, and invoice reconciliation. They will place orders and determine the availability of inventory and/or the prices requested.

Administrative Assistant Duties:

  • Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.

  • Answer phone calls and direct calls to appropriate parties or take messages.

  • Open, sort, and distribute incoming correspondence, including faxes and email.

  • Assist with manual pricing reports, printing order status log, and automatic pick entry process.

  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.

  • File and retrieve documents, records, and reports.

  • Act as a liaison with other departments and outside agencies.

  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.

  • Must be able to function in the DC environment for periods of time as work flow requires, filling orders and cycle counting

Administrative Assistant Qualifications

  • Associates Degree or equivalent preferred but not required

  • Strong organizational, communication and time management skills

  • Proficient knowledge of Microsoft office: word, excel, publisher, PowerPoint

  • Must be able to operate hand held scanning equipment

  • Ability to stand and walk up to 3 hours at a time is required

  • Team player with exceptional customer service skills

  • Ability to simultaneously manage multiple tasks in a fast paced environment

  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

  • Basic knowledge of some accounting procedures. (credit entry, order entry, factory billing, direct billing)

  • Ability to lift 20lbs regularly and up to 50lbs. on occasion is required

  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
