This position is responsible for assisting a variety of constituents in the Department of Music. Responsibilities include work assignments in the specific areas listed below as well as other areas, as assigned. This position will serve as assistant to many roles within the department, including the department chair, senior administrative assistant, as well as the director, associate director, and assistant director of bands, and will perform duties to assist each individual serving in these named roles, as well as any additional roles added at a later date. This position is also responsible for all aspects of recording services and archives in the department.

  • Coordinate all departmental performance award mailings, recordkeeping, and correspondence;

  • Coordinate recordkeeping, correspondence, and organizational support for band and other areas in music as needed;

  • Maintain financial records, music filing systems, and instrument and uniform inventories for the band;

  • Perform clerical duties for preparing and processing band procurement/purchasing paperwork;

  • Manage band camp scheduling;

  • Measure, order, receive, sort, and distribute marching and concert band apparel;

  • Mail materials; sort applications, registrations, audition information, and score tabulations; and handle registration/organization for various band events;

  • Coordinate mailings, registrations, shirt orders, meal orders, and video requests for alumni band events and activities;

  • Distribute band information and perform publicity duties;

  • Serve as the fundraising coordinator for band;

  • Provide support in the development of summer music camps;

  • Coordinate all band events, including: marching band extravaganza, middle/high school invitational honor bands, tournament of champions marching band competition, and alumni band;

  • Assist with hosting Alabama Bandmasters Association (ABA) district III events;

  • Serve as public relations specialist to visiting and auditioning students for band;

  • Organize band recruitment assets and attend/work at recruitment events;

  • Procure archival recordings and distribute links to recordings of historical performances to relevant faculty and performers within one week of the event.

  • Request orders for equipment and supplies for music recording services.

  • Maintain current inventory of equipment and supplies used in recording services.

  • Record department events - recordings may occur during evenings or weekends, with the individual's normal work hours being adjusted accordingly; 

  • Train student workers/faculty on the operation of recording equipment.

  • Supervise and schedule student workers who record events.

  • Perform all other duties as assigned.

ADDITIONAL DUTIES:

  • High school diploma/equivalent is required;

  • Bachelor's degree is preferred;

  • Two years of related work experience is required; 

  • Work experience in music or a music-related field is preferred.
