Position Responsibilities

1.Ensures executive leadership is informed of general and specific activities as appropriate. While also providing direct support to management staff.

2.Draft emails and notices, including hospital-wide communications for executive leadership

3.Independently prepares check requests and purchase requests obtaining the necessary approvals and correct account coding.

4.Develops and maintains good working relationships with all external parties.

5.Schedules and maintaines calendars of appointments, travel itineraries, and other related arrangements, confirming all meetings prior to meeting date/time.

6.Maintain an up to day and in order filing system for important documents in an efiling format in the K and/or drive S drives as indicated by executive leadership.

7.Gathers information and conducts research on special projects as required by the department.

8.Facilitates the development of presentation material for the department, including monthly and other reoccurring presentations.

9.Maintains highest level of confidentiality at all times without ever deviating from this standard.



  1. Assist with last-minute projects where a very short timeframe is provided for completion.

  2. Orders office supplies and other resources as needed for the department.


12.Tracks and coordinates all moves associated with the execution of on-going projects..



  1. Inputs information and updates database, dashbaords, and spreadsheets on a regular basis and provides report to executive leadership as necessary.

  2. Makes administrative support decisions during the routine business day as needed, using good judgement and common sense.

  3. Reads and understands paperwork that comes across desk to enable more effective working relationship with administrators, taking the initiative to ask questions when appropriate.

  4. Handles situations involving administrators, co-workers and patients, using discretion and common sense.


Minimum Requirements:

  • One year prior experience in an AA or Administrative Coordinator role

  • Excellent communication and customer service skills

  • 2 years of college or equivalent level of training

  • Ability to Multi-task
