JOB DESCRIPTION
Job Title: Administrative Assistant
Classification: Non-Exempt
Position Type/ Expected Hours of Work: Full-Time Position. Monday
Friday 7:50 a.m.
4:00 p.m.
Reports to: Middle School Administrator
Position Purpose: Under the direct supervision of the Middle School Administrator, provide clerical, secretarial and administrative assistance at the school site to the Principal and the Administration, convey information regarding school functions and procedures, and supporting the broad array of services to students, parents, instructional and support employees.
Essential Functions:
Answer all incoming telephone calls and provide information/assistance on all questions regarding school enrollment, attendance, etc.; both in English and in Spanish as needed.
Screen incoming mail before giving it to the respective parties
Screen main office email and responding when necessary
General filing as needed
Meet and greet parents and visitors and assist with their needs; both in English and Spanish as needed.
Order and maintain office supplies and school supplies as needed
Time and record emergency drills
Answer all classroom pages and assist in their request
Assist in Input and Update all student's data in school database
Assist in Prepare and send out records of transferring students
Prepare registration documents for incoming Freshman; including duplicate/scan all registration documents, i.e., birth certificate, proof residence, transcripts, medical info, etc.
Assist in set up permanent records/file folders for all new students who enter the school
Assist maintain and coordinate enrollment process for AUL in coordination with the Parent Outreach Coordinator
Maintain and update school forms i.e., enrollment applications.
Prepare all documents for professional development and staff meetings dedicated by the Principal and Administration
Travel to AUL campus, post office, etc.
Other duties as assigned by the Principal and Lead Administrator

Equipment: Uses standard office equipment such as personal computer, copy machine, fax machine, telephone.
Travel Requirements: Limited travel to and from meetings, campuses, post office may be required.

Ability to describe problems and work orally or in writing as required.
Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
Ability to carry out instructions furnished in written or oral form.
Ability to add, subtract, multiply, divide, and perform arithmetic operations.
Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint, the internet, Outlook, electronic mail Google Suite).
Ability to problem solve job-related issues.
Ability to work with a diverse group of individuals.
Ability to process paperwork accurately according to standardized procedures.
Ability to maintain confidentiality of information regarding students, employees and others.
Organizational and time management skills.
Knowledge of office management procedures.
Physical and Mental Demands, Work Hazards: Work in a standard office setting and school building environment, walking, climbing up and down stairwells. Depending on the duty, the employee may have to lift and / or move objects up to 10 pounds.
Qualification Profile: Any combination of education and experience providing the required skills and knowledge for the successful execution of the aforementioned functions would be qualifying.
Typical qualifications would be equivalent to:
High School Diploma
Some shorthand or speed writing skills desirable
Previous school experience preferred
