Primary Duties -
The primary activities include, but are not limited to:
General secretarial/clerical tasks including scheduling of complex meetings, management of calendar, filing of monthly expense reports for multiple therapeutic area regulatory liaisons.
Assisting the sitebased staff, as needed, with ordering supplies, adhoc meetings, good office management practices, etc., to ensure a wellfunctioning environment.
Scheduling domestic and complex, multi-leg, and international travel, including demonstrated processing of Visas/Passports.
Supporting Team Sites and other communication channels.
Coordination and partnership with other team members across the organization, including coordination of special projects within the division/area.
High School Diploma or equivalent required
Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification) preferred.
Minimum of (10) years as Administrative Assistant
At least 3 years in executive administration supporting senior executives (Sr. Director, Executive Director, VP or above).
Outstanding attention to detail, critical thinking, and creative problem-solving skills.
Proven ability to rapidly comprehend outcomes, priorities and project principles and use independent judgment to coordinate, prioritize, and deliver on multiple simultaneous assignments.
Excellent stakeholder management, interactive, listening and communication skills, verbal and written.
Demonstrated ability to effectively interact with executives and internal/external clients both on-site and remotely.
Demonstrated ability to rapidly learn new skills, develop a nuanced understanding of critical stakeholders and priorities and to apply situational leadership; continuous improvement mindset.
Proactive, approachable, customer-focused attitude. High personal integrity, credibility and energy.
Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint).
SAP processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP.
Background in event planning and coordination.
Ability to handle financial and budget tasks.
