Our Regulatory Affairs team brings new medical advancements to the world by facilitating communications and procedures that allow swift, organized compliance partnering with external regulatory agencies. Primary Duties -

The primary activities include, but are not limited to:

  • General secretarial/clerical tasks including scheduling of complex meetings, management of calendar, filing of monthly expense reports for multiple therapeutic area regulatory liaisons.

  • Assisting the sitebased staff, as needed, with ordering supplies, adhoc meetings, good office management practices, etc., to ensure a wellfunctioning environment.

  • Scheduling domestic and complex, multi-leg, and international travel, including demonstrated processing of Visas/Passports.

  • Supporting Team Sites and other communication channels.

  • Coordination and partnership with other team members across the organization, including coordination of special projects within the division/area.

Educational Qualifications:

  • High School Diploma or equivalent required

  • Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification) preferred.

Required Experience & Skills:
  • Minimum of (10) years as Administrative Assistant

  • At least 3 years in executive administration supporting senior executives (Sr. Director, Executive Director, VP or above).

  • Outstanding attention to detail, critical thinking, and creative problem-solving skills.

  • Proven ability to rapidly comprehend outcomes, priorities and project principles and use independent judgment to coordinate, prioritize, and deliver on multiple simultaneous assignments.

  • Excellent stakeholder management, interactive, listening and communication skills, verbal and written.

  • Demonstrated ability to effectively interact with executives and internal/external clients both on-site and remotely.

  • Demonstrated ability to rapidly learn new skills, develop a nuanced understanding of critical stakeholders and priorities and to apply situational leadership; continuous improvement mindset.

  • Proactive, approachable, customer-focused attitude. High personal integrity, credibility and energy.

  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint).

Preferred Experience & Skills:
  • SAP processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP.

  • Background in event planning and coordination.

  • Ability to handle financial and budget tasks.
