We are currently searching for an Administrative Assistant to join our Marketing department in Encino. This position will provide direct assistance to the Marketing team and the Sr. Director of Marketing.

Responsibilities:

Provide clerical and administrative support for the Marketing Department.

Your responsibilities will include:

  • Receive, screen, and manage telephone calls, mail, and email messages, determine priority attention; research and respond to communications as appropriate

  • Create Social Media assets, Emails, and maintain the Website as needed

  • Track marketing promotions, assemble reports and maintain a working list of best-performing tactics; Research, organize, compile, and present marketing analytics reports for review and distribution

  • Assist with job trafficking for incoming project needs, collaborate and work with internal teams as well as external graphic designers, copywriters, and photographers to create collateral

  • Create and distribute all Marketing materials relaying new/updated programs

  • Fill out register promotion forms; ensure the accuracy of pricing and wording for offers

  • Work with Public Relations agencies to secure product, provide photos, or other assistance

  • Update and maintain Gelsons customer database for mailers, rewards

  • Maintain inventory files for marketing supplies and materials as well as reorder as needed

  • Cultivate and maintain relationships with community partners such as food banks, pet adoption agencies, schools, and other non-profit and grassroots organizations

  • Code and submit invoices, checking for accuracy in billing, and submit to accounting department

  • Add events on Gelsons website and various social media platforms

  • Provide customer support for marketing-related activities

  • Work offsite special events to represent Gelsons

  • Other related duties and assignments as required
