This job assumes responsibility for all secretarial functions which support one or more roles within the department(s) by performing a variety of clerical tasks such as typing, filing, sorting, photocopying, composing correspondence, maintaining calendars, booking travel, submitting expense reports, create documents such as memos, project coordination, handling meeting arrangements, minutes from meetings, customer relations, and ordering supplies. Acts as the point of contact for the department answering calls, relaying messages, and escalating issues to the appropriate person/group. Manages projects and organizes events such as lunches and tracks all physician vacation and meeting requests process and all physician reimbursements.

Education

Required

  • High School diploma or equivalent

Preferred

  • Additional degrees, business training experience and/or certifications may be combined to meet minimum qualifications.

Work Experience

Required

  • 5 years relevant experience.

Related transaction processing experience preferably in a healthcare setting.

Knowledge of business management principles including operations, finance, audit, personnel and resource management.

Knowledge Skills and Abilities (KSAs)

  • Must have computer skills and dexterity required for data entry and retrieval of patient information.

  • Must be proficient with Windows-style applications and keyboard.

  • Effective verbal and written communication skills and the ability to present information clearly and professionally to varying levels of individuals throughout the patient care process.

  • Strong organizational skills

  • Good time management skills

Job Duties

  • Provides general administrative support for the department and/or specific managers/directors within the department.

  • Establishes and maintains good rapport and cooperative working relationships with representatives/vendors from external companies, co-workers, personnel from other departments, senior management personnel and physicians throughout the facility.

  • Schedules and coordinates meetings and travel.

  • Manages special projects for the department.

  • Types and composes routine correspondence accurately, timely, and in the appropriate format.

  • Develops and manages the department's schedule for meetings for staff

  • Other related duties as required.

Even though the weight lifted may be only a negligible amount, a job should be rated Light Work: (1) when it requires walking or standing to a significant degree; or (2) when it requires sitting most of the time but entails pushing and/or pulling of arm or leg controls; and/or (3) when the job requires working at a production rate pace entailing the constant pushing and/or pulling of materials even though the weight of those materials is negligible. NOTE: The constant stress and strain of maintaining a production rate pace, especially in an industrial setting, can be and is physically demanding of a worker even though the amount of force exerted is negligible.

Mechanical lifting devices (e.g., carts, dollies, pallet jacks, forklift trucks, etc.) or team lifts should be utilized.

Must be able to stoop, bend, reach and grab with arms and hands, manual dexterity.

Must be able to sit for prolonged periods of time.

Must be able to travel throughout and between facilities.

Normal routine involves no exposure to blood, body fluid or tissue and as part of their employment, incumbents are not called upon to perform or assist in emergency care or first aid.

Preferred - Bachelor's degree in Marketing, Advertising, Business Administration or related field Work Experience Required - 3 years related marketing experience Preferred - 5 years of marketing experience including three years of project leadership experience Job Duties MARKETING * Ensure all aspects of a comprehensive marketing program is in place for philanthropy. This work will include establishing annual marketing plans, developing and executing advertising campaigns, collateral development, optimizing digital/web platforms and advising on emerging opportunities. * Promote fundraising events, establish online cause campaigns and identify giving opportunities within existing corporate sponsorships. * Ensure all fundraising efforts support the brand in a cohesive manner to build affinity and loyalty to Ochsner. * Collaborate with corporate sponsorship team on activations with fundraising opportunities to deepen brand engagement and differentiation across all markets. * Collaborate with digital team to implement a strong social media presence and development of digital content that can be used in multiple mediums. * Serve as a point of contact for reviewing and approving branded materials, both internal and external. * Collaborate with internal communications, public relations and other key Marketing and Communications colleagues to ensure cohesive plans for the philanthropy department are developed, approved and executed. * Work with leadership on special projects as assigned. Measurement and PROGRAM performance * Responsible for all aspects of financial management including budget planning and reconciliation. Work will include participation in monthly department budget meetings, coordinating vendor invoicing and tracking payment. Seek opportunities for cost reduction and outcome improvement. * Establish measurement and tracking program to monitor the impact of giving campaigns and optimize messaging maximize contributions. Partner with the philanthropy team to link donations to marketing efforts. * Collaborate on all brand research projects and actively work to integrate findings into campaigns. * Gather and analyze fundraising insights and findings on regularly basis and provide reports to clients. * Other related duties as required.
