Summary
This is a full-time Administrative Assistant position that reports to the Bishop and works closely with the Executive Assistant to the Bishop. This Administrative Assistant provides administrative support to the Canon to the Ordinary and the Canon for Lifelong Formation and general administrative support for the Diocesan Center.
The ideal candidate for this position is an excellent written and oral communicator who maintains a non-anxious, friendly and professional presence. They are adept at time management, pay attention to detail, and are an eager problem-solver. The ideal candidate collaborates easily with others and values contributing to a common goal.
Essential Duties and Responsibilities
Provide administrative support to the Canons including scheduling, records, and communication, and other administrative support tasks as assigned
Provide planning, logistical, and administrative support for diocesan events related to the work of the Canons, including retreats and conferences
Assist the Executive Assistant to the Bishop with formatting liturgies for episcopal visitations and other occasions
In coordination with the Executive Assistant to the Bishop, maintain a variety of diocesan records, especially digital records and databases
Assist in diocesan communication strategies and record-keeping related to Safe Church, Safe Communities trainings, background checks, and collaborate with congregational administrators to ensure compliance and accurate documentation
In coordination with the Executive Assistant to the Bishop, supervise the maintenance of the Diocesan Center, including greeting visitors, coordinating with diocesan staff, liaising
with cleaning and maintenance vendors, ordering supplies, managing physical mail.
Required Qualifications
Bachelor degree required
At least three years of administrative experience
Excellent written and oral communication skills
Self-aware, emotionally mature and willing to participate in team building
Strong computer experience, including experience with Microsoft Office applications, document creation, editing and management, spreadsheet creation and management, and communications applications
Significant experience with text document formatting
Strong typing and copy editing skills
Experience organizing events
Able to identify and anticipate organizational needs and assist in problem-solving
Familiar with, or willing to learn, the theology and polity of the Episcopal Church
Experience with database and records management
Capacity to work effectively with small teams
Capacity to effectively manage time and projects independently
Ability for occasional physical tasks related to materials and office management, to climb stairs and use a dolly, and to regularly lift up to 30 pounds
Ability to work at a desk and on a computer for significant parts of the workday
Able to work under artificial light
Up-to-date COVID vaccinations
Preferred Qualifications
Fluency in written and spoken Spanish
Experience organizing retreats and conferences
Knowledge of/experience with liturgies of the Episcopal Church
Experience with grant writing and management
Salary and Benefits
40,000-50,000/year, depending on experience
