Job Summary and Responsibilities:
As a member of the Community Engagement and Equity Department, the Administrative Assistant for Scholarships provides support and coordinates processes and workflows for the foundation's $14 million scholarship program. Duties include, but are not limited to, processing scholarship applications and correspondence, maintaining student and advisory committee records, and providing logistical and administrative support to the scholarships team.
Scholarship Administration (95%)
- Process scholarship applications; review and process scholarship invoices and refunds; maintain records for students, committees, and donors. Review scholarship applications and student renewal paperwork.
- Assist with the creation and production of reports using the CRM database, Excel, Word, and Adobe for various constituents.
- Perform administrative tasks with external state agency partner, the Office of Student Access and Completion (OSAC).
- Provide logistical support, answer questions, and prepare and assemble information for committee meetings.
- Answer inquiries from a broad range of stakeholders.
- Provide technical assistance to users and logistical assistance for travel, meetings, activities, and events.
- Assist in developing and maintaining printed, electronic, and web program material.
- Coordinate regular data reviews and cleanup processes to maintain data integrity.
- Offer suggestions to improve efficiency and effectiveness of processes.
- Provide backup for other related positions, including participating in a team of individuals providing front desk coverage.
Marginal or Non-Essential Job Duties (5%)
- Participate in statewide efforts to advance OCF and department priorities as appropriate
Qualifications:
Education and Experience:
- Three years' administrative office experience, good knowledge of administrative and clerical procedures.
- Experience and skill working with Salesforce or a similar CRM database, data reporting, and data integration.
- Associate degree in a related field or equivalent experience in lieu of degree.
- Work or volunteer experience in the nonprofit sector preferred.
- Previous experience or interest in financial aid, scholarships, foundations, educational institutions, or related area is preferred.
Travel (1%):
- Travel may be required 2-3 times annually for specific meetings and events within the state of Oregon.
Working Conditions & Safety:
- Comfortable office environment.
- Physical effort includes carrying, keying/typing for several hours at a time, and the ability to sit or stand for several hours at a time. Occasional lifting of up to 60 lbs.
Hybrid Policy:
OCF supports a hybrid work environment. This position will have the opportunity to work remotely up to two days per week when doing so aligns with the responsibilities of the position. During the initial training period, this position may work more frequently in the office.
Compensation and Benefits:
- Hiring Range: $23.58 to $26.73 per hour, depending on experience.
($45,981 to $52,123 when annualized based on a 37.5 hour workweek)
