SUMMARY:

The Administrative Assistant is an integral part of this multidisciplinary team, and will be both office and community based. They support the LEAD team by answering phones, general administrative support and appointment scheduling for the LEAD office.

Represented: $21.32 hr

Hours: M-F 8-4:30

RESPONSIBILITIES:

  • Perform clerical duties for the clinic front office.

  • Answer main telephone line and transfer to appropriate extension.

  • Schedule and/or confirm appointments over the phone.

  • Order and maintain supplies for the team.

  • Track supply cost, flex spending, and manage receipts.

  • Resource management and logistics

  • Copy forms needed for front desk and intake packets.

  • Coordinate maintenance and service on office machines as needed.

  • Coding of invoices, and tracking of receipts

  • Open and date stamp incoming mail.

  • Participate in compliance, quality assurance and quality improvement activities as directed.

  • Adhere to all state and federal privacy regulations, including HIPAA and 42 CFR Part 2, and to CCC policies and agreements regarding confidentiality, privacy, and security. Support compliance with all privacy and security requirements pursuant to community partners' and outside providers' patient confidentiality agreements, including privacy and security requirements for EMR access. This includes immediate reporting of any PHI breach of CCC or outside provider health records to the CCC Legal and Quality departments, as well as to the program administrator.

  • Ability to maintain client confidentiality at all times.

  • Ability to follow a schedule, manage time and meet deadlines.

  • Ability to maintain accurate records and paperwork.

  • Ability to understand and follow oral and written instructions.

  • Knowledge of medical terms is helpful.

QUALIFICATIONS:

  • Minimum 1 year recent experience providing clerical support in a clinical setting.

  • Typing of minimum 35 words per minute.

  • Knowledge of computer and record keeping systems.

  • Must have current CPR certification prior to start date.

  • Ability to adhere to Central City Concern's drug-free workplace which encourages a safe, healthy and productive work environment and strictly complies with the Drug-Free Work Place Act of 1988. An employee shall not, in the workplace, unlawfully manufacture, distribute, dispense, possess or use a controlled substance or alcohol.

  • Bi-lingual, Spanish-speaking preferred.

  • Must pass pre-employment drug screen, TB test, and DHS background check.

  • Ability to effectively interact with co-workers and clients with diverse ethnic backgrounds, religious views, political affiliations, cultural backgrounds, lifestyles, and sexual orientations, treating each individual with respect and dignity.

  • If driving, must possess a current driver's license, pass a DMV background check and be designated an "acceptable" driver as outlined in Central City Concern's Fleet Safety Policy. Must pass an initial drivers training within 60 days of being an approved driver and continued recertification training.
