Description:

This position performs complex secretarial, administrative and clerical work of a diverse nature. Performs various specialized secretarial and clerical duties requiring in-depth knowledge of the organization and of the programs, policies and procedures of Transportation Department. Initiates, coordinates and may, when appropriate, supervise the clerical and secretarial functions required in effective implementation of administrative policies of Transportation Department. Duties may include completion of specific projects as assigned, some facility and program planning, and may have line responsibilities for certain assigned functions or departments. Assists Department Chief with departmental functions and administrative duties.

Essential Functions:

  • Performs clerical and secretarial functions such as word processing, spreadsheet development and maintenance, filing, phone support, copying, mail distribution, etc.

  • Generates, types, and revises department correspondence using acceptable business format. Proofreads final copy for errors.

  • Establishes procedures that implement operational practices.

  • May train, supervise and provide feedback on the work of department's lower grade administrative staff when/where appropriate.

  • Compiles data based on statistical computations and research techniques.

  • Drafts financial, statistical, narrative, and/or other reports as requested.

  • Provides authoritative information.

  • Independently composes reports and correspondence.

  • Arranges, participates in and implements as directed, conferences and committee meetings.

  • Receives, files and acts on purchase orders in accordance with Procurement policy.

  • Answers phones and responds to inquiries.

  • Maintains schedules for Department Chief, schedules and coordinates facilities (conference rooms), and monitors staff schedules for department/divisions.

  • Assists Department Chief with project and program administration.

  • Maintains department filing system, library and resource centers.

  • Coordinates preparation of final drafts of letters, reports, mail-outs and mail distribution, internally and externally.

  • Processes documents of a confidential and legal nature.

  • Maintains department office equipment, faxes, copiers, contracts and /or office supplies.

  • Maintains department document control and record management systems.

  • Regular and reliable attendance and punctuality is required as an essential function of the position.

  • Performs other duties as may be required or assigned.

Required Qualifications:

  • High School diploma or GED plus five (5) years' experience in progressively more responsible secretarial/clerical support position(s).

Knowledge, Skills, and Abilities (KSAs):

  • Knowledge of modern office practices, procedures, and equipment including record keeping methods.

  • Knowledge and understanding of general terms and conditions pertinent to Transportation Department duties. (i.e. Procurement department - legal terms and instruments, contracts and bid procedures).

  • Knowledge of Business English composition, spelling, punctuation and general math.

  • Strong interpersonal and communication skills; knowledge of telephone etiquette.

  • Ability to operate a personal computer and various software applications such as Word, Excel and PowerPoint.

  • Ability to handle and maintain confidential information.

  • Ability to compose, type and proofread letters, statements, narrative and statistical reports, minutes, agendas, etc.

  • Ability to train, supervise and provide feedback on the work of department's lower grade administrative staff when assigned.

  • Ability to manage multiple tasks with limited supervision.

  • Ability to collect and assemble information in a clear, concise manner.

  • Ability to work as a team player, meeting schedules and deadlines.

  • Ability to adapt to a variety of work methods. Flexibility is a must.

  • Ability to organize and maintain status of daily and continuing projects and tasks.

  • Ability to coordinate duties and responsibilities with various diverse departments/divisions.

  • Ability to handle difficult situations and problem solve.

  • Ability to establish and maintain effective working relationships with customers, co-workers and those doing business with LYNX.

  • Ability to operate a motor vehicle; must possess a valid Florida Driver's License.

Pay rate will be determined by qualifications of candidates who exceed the minimum requirements.
