The Administrative Assistant is responsible for performing a variety of administrative and technical work to support activities of assigned department. Work involves preparing and maintaining a variety of files, databases and documents, answering phone calls, greeting the public and routing communications. Employee is responsible for performing general clerical duties such as compiling records of office activities and ensuring that the public works and road maintenance records are properly sorted and copied for retention purposes.

  • Provides general administrative support for the Public Works Director.

  • Serves as first point of contact for answering questions and resolving problems, complaints, and requests from the general public, or governmental agencies via telephone and personal contact. Tracks referrals and follows through with constituents' concerns.

  • Utilizes computer, phone, calculator, copy machine, scanner, and fax machine as needed.

  • Assists with processing applications and submittals to the Public Works Department.

  • Manages schedules and calendars and arranges appointments.

  • Updates and maintain complex office filing, inventory, mailing and database systems.

  • Performs research and compiles data for special projects, reports or other publications, as assigned, prepares correspondence ensuring completion by specified deadlines and in accordance with department's goals and objectives.

  • Prepares source data for computer entry by compiling and sorting information; establishing entry priorities.

  • Responsible for tracking and verifying monthly and annual financial data for department; matches purchase requisitions with invoices for goods received and forwarding to personnel.

  • Secures information by completing data base backups.

  • Maintains operations by following policies and procedures; reporting needed changes as directed by the Director.

  • Contributes to team effort by accomplishing related task and being proactive as needed.

  • Ability to legally operate a department vehicle for occasional duties.

QUALIFICATION REQUIREMENTS:  High School diploma or equivalent is required. Two years experience. A combination of education and experience which provides the required knowledge, skills, and abilities. Must have a valid Texas driver's license. Must type 35 words per minute.

KNOWLEDGE, SKILLS, AND ABILITIES: Office experience such as: general clerical duties, scheduling, telephone skills, typing, verbal and written communication, attention to detail, administrative writing skills, and dependability. Proficient in Microsoft Suite (Word, Excel, and Power Point). Ability to create documents, presentations, spreadsheets, and data reports. Ability to perform non-scheduled work, to include, but not limited to: extended work hours due to extenuating circumstances, such as weather emergencies or other work assigned.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS: Maintain the ability to occasionally stand, walk, kneel, and bend during the shift; reach, grip and use fine dexterity; push and pull objects; occasionally flex upper trunk forward at the waist and partially bend at the knees; occasionally lift and carry up to 40 pounds; occasionally rotate upper trunk to the left or right while sitting or standing; place arms above, at, or below, shoulder height; use of vision and depth perception (vision may be corrected with glasses or contact lenses); and talking. Employee will be required to work in an office building setting with incandescent and fluorescent lighting; heavy traffic, and loud noise.
