Job Description:

Responsibilities include: -Office manager and admin for senior VP

  • Manage dynamic multi-disciplinary schedule via Microsoft Outlook with rapid notification of schedule changes

  • Anticipate schedule actions and coordinate with Program Manager regularly (daily) for near term and long term staff actions

  • Support front office and set up of staff meeting, if required

  • Attends staff meetings, take minutes and create action items; follows thru on closure of action items

  • Manage and monitor email account ensuring follow-through and timely response to time sensitive information and information requests

  • Arrange international and domestic travel and submit expense reports

  • Interface with all levels of Internal and External customers domestic and international

  • Plan and schedule program reviews across geographic regions using multiple telecommunication options ensuring adherence to company and customer protocols

  • Assists Program Manager with team building and full spectrum leadership activities. Shift is 7A-4P M-F first week, and M-T alternating week, with flexibility per coordination with manager.

Must be a US Citizen, this position will requires special access and be able to obtain a DoD Security Clearance Minimum Secret; up to Top Secret. No clearance required to start.

Basic Qualifications

  • Must have a minimum of 5 years experience supporting executive level staff-Director in an administrative capacity.

  • Proficient with Microsoft Office applications, including Outlook, Microsoft Word, Excel, Power Point.

  • Managing leader(s) calendar/schedule(s), set up and maintain email distribution(s), coordinate travel arrangement(s) for executive level staff-Director, and reconciliation of expense report(s).

As a Department Administrative Assistant you will provide high-volume administrative support to the Chief Accounting Officer. In this role, you will embody strong organizational and multi-tasking skills while ensuring confidentiality. You will demonstrate excellent interpersonal skills; both written and verbal, time management, and proven Microsoft Office skills. As a Self-motivator you will work with minimal supervision. Primary responsibilities: The job responsibilities include but are not limited to the following: Administrative Responsibilities: * Organizes executive's time, taking into consideration priorities, available time, and other variables. Manages executive's calendar, proactively addressing scheduling conflicts, sets and maintains schedule of appointments and meetings. * Makes all arrangements for travel and conferences. * Processes monthly T&E for Executive. * Prepare itinerary, secure hotel/transportation and pertinent flight info. * Responsible for daily office operations: opens, sorts, and distributes incoming mail. Responds to general inquiries, delegates and handles incoming phone calls. Maintains office efficiency and handles unforeseen situations. * Follows established guidelines and procedures for receiving, documenting, organizing & mailing packages. * Manage email where needed – prioritize and respond, if needed, immediately. * Provide follow-up to pending issues to assure completion of tasks. * Responsible for requisition/ordering office supplies, office equipment as necessary. * Maintains directories and email distribution lists for internal and external clients. * Maintains finance and administration files and archiving. * Assist Executive, and direct reports as needed. * Oversee required working space and supplies for new hires. Coordinate Meetings & Events: * Builds presentations to include charts, graphs, etc. * Coordinates activities with Administrative assistants, such as department team building and functions. * Schedule and handle arrangements for meetings and events including, rooms, ordering meals, refreshments, travel logistics, etc. * Coordinate with NBS to research venues for large group offsite meetings. Financial Responsibilities: * Responsible for full accounts payable function from procurement through payment of invoices. Maintains appropriate vendor files and audit trail. * Ensures procurement activities are in accordance with procurement policies. Responsible for P-card for teams supported. * Assists team with budget preparation and tracking. Communications Responsibilities: * Drafts communications * Serves as point of contact with direct reports, employees and vendors. Maintains confidential nature of communications. * Maintains departmental team rooms and calendars. Other duties as assigned Supervision received: * Works efficiently with minimum supervision. Supervision given: * No direct reports. Financial/strategic impact: * Responsible for submitting expense reports and ordering supplies for department. REQUIREMENTS AND MINIMUM EDUCATION LEVEL: * High School diploma required. Bachelor's degree preferred. * Travel may be required. EXPERIENCE: * Minimum of 3 years of experience as an Administrative Assistant in a corporate environment. * Must have experience managing multiple priorities and tasks. * Experience working in a team environment and supporting teams in a multiple locations. SKILLS: * Strong communications skills, both oral and written.Demonstrates professional judgment and discretion * Service oriented – ability to address the needs of customers – internal and external * Ability to handle multiple projects simultaneously. * Ability to work in team-based environment, developing cross-functional network of resources, maintaining effective working relationships. * Detail oriented and able to work in a fast paced environment. * Advanced PC skills required, including MS PowerPoint, Word, Excel, Outlook, and SAP.
