We have an opportunity for an Administrative Assistant supporting the VP of Quality located in Sunnyvale, CA within our Space Operations group. In this role, you will provide a full range of complex administrative work assignments.

Your role will encompass the following:

o Sustained effective multi-tasking in a fast-paced and dynamic environment with continual conflicting priorities

o Precise maintenance of calendars, meeting and travel arrangements

o Regular professional engagement with executive level leaders and customers

o Dedicated partnership and coordination with Line of Business, Major Functional Organization and corporate staff

o Taking initiative in handling email, telephone calls and other requests with discretion and tact i

o Ensure all correspondence is accurate, complete and properly handled

o Utilizes personal computer and standard desk top software (full complement of Microsoft Office Suite) to Access LM systems, compose correspondence and update spreadsheets and presentation charts

o Assures administrative detail on all projects: updates and statuses delegated tasks to ensure progress to deadlines; handles all inquiries within capacity; provides backup materials for callbacks; fixes commitments to maximize time efficiency; screens visitors to control interruptions and preserve schedules; provides meeting backup data as needed and arranges all amenities for same

o Pursues opportunities to change or lean out processes or approaches

o Resolve priorities regarding non-routine situations

Basic Qualifications

  • High School diploma, or equivalent experience/combined education, with additional specialized training in specific aspects of job functions

  • 5 years working in an executive office environment.

  • Ability to function in an environment with challenging priorities and pressure while employing strong interpersonal skills

  • Demonstration of leadership attributes to address executive's needs, the surrounding work environment, and customer interfaces/requests

  • Able to apply a systematic approach to action items and deadlines while multi-tasking to handle a wide-variety of ongoing projects

  • Highly effective, complete and timely communications

  • Highly motivated with the "One Company, One Team" mindset and can-do attitude

  • Thorough knowledge of systems applications such as MS Office Suite Outlook, PowerPoint, Word, Excel as well as Lockheed Martin specific systems to make travel arrangements, prepare expense reports, order supplies, request to visit, etc.
