We are headquartered in New York City with major real estate operations in the Atlanta, San Diego, Chicago and Philadelphia markets, and our Accounting Center is in Philadelphia

Responsiblities

  • Assisting with processing of signed leases/contracts including data entry and appropriate storage requirements

  • Preparing written correspondence and lease proposals

  • Preparing marketing materials and direct mailings for key retailers

  • Maintaining retail tenant database

  • Developing, analyzing, preparing and managing reports

  • Compiling prospective tenant lists in demographic areas

  • Researching leases for specific deal terms and/or information

  • Assisting in coordination of industry events, trades shows and other promotional/marketing activities

  • Performing departments administrative functions including maintaining department files, performing phone coverage as needed, assisting in travel arrangements, meeting planning, etc.

  • Back up receptionist as needed

  • Other duties as necessary

Qualifications

  • High school degree or equivalent

  • A minimum of three years of administrative experience in professional setting

  • A strong team player with excellent organizational, communication and decision-making skills

  • Strong computer skills (MS Word, Excel, Outlook, Power Point) including ability to perform thorough research on the Internet

  • Ability to create, manipulate and maintain databases

  • Ability to organize and manage multiple projects. Strong attention to detail, time management skills and personal initiative are all required competencies.

  • Previous experience with heavy volume copying projects

  • Ability to track and maintain storage files

  • Strong grammatical skills. Ability to produce error-free documentation regarding spelling, grammar, and punctuation.

  • Ability to provide prompt, professional service to incoming calls

  • Ability to maintain confidential information

  • Must be self-sufficient and able to operate independently

  • Must be able to work well with all levels of the organization

  • Must be able to adapt quickly to new work assignments and situations

  • Reliable, on-time attendance
