The Senior Executive Assistant provides administrative and secretarial support to the Vice President of Operations across multiple clinical service lines: Cardiovascular, Neuroscience and Women's Services.
Is able to work independently, using own judgment and initiative, to determine appropriate action in both routine and non-routine situations. Performs duties and responsibilities in a manner consistent with our mission, values, and Mercy service standards.
Responsibilities and Qualifications
ResponsibilitiesPerforms general secretarial duties, which include preparing, drafting, and editing correspondence, confidential reports and correspondence and statistical and financial data. Screens and directs phone calls and visitors to appropriate resources.
Reviews mail for prioritizing and drafts responses when appropriate.Maintains system Vice-President or hospital C.O.O.s calendar and coordinates activities, including meeting arrangements, travel plans and schedules. Handles logistics for meetings, assembling and distributing all mailings and the drafting and distribution of meeting minutes.Maintains confidential records and files in an orderly and current manner.Coordinates and interprets administrative procedures as directed. Interprets and adapts guidelines, including unwritten policies, procedures or practices to non-routine situations.
Develops and maintains good rapport within the department as well as outside to assure optimum adherence to administrative direction.Receives initial contact with internal and external public. Responds as appropriate on behalf of the system Vice President or hospital C.O.O.Leads and supports special projects and other work duties as assigned.
Experience analyzing/managing data using spreadsheets and other data management tools
Able to analyze data and interpret findings.
Demonstrates careful attention to detail
Analyze, identify, and interpret trends or patterns in data sets
Solid technical and analytical ability using spreadsheet, database and EMR systems and software
Because you're committed to excellence, you understand the importance of being properly prepared for your role at Mercy. That's why you'll bring to your role the right set of qualifications:
Education: High school diploma or equivalent required.
Experience: Minimum of three to five years' executive secretarial level experience required. Other: Excellent computer skills, proficient in Microsoft Office applications required. Must have excellent written, oral and human relations skills, attention to detail and follow through and the ability to handle confidential information.Preferred Education: Bachelor's degree preferred.
