Job Announcement
Under supervision of the Chief Deputy Clerk for the Board of Supervisors, serves as a Deputy Clerk providing support for Board of Supervisors meetings. Duties include:
Extracts key information from the board package and produces pre-entry for the meeting summary and related draft documents for review.
Participates in a rotation schedule providing Board room support during Board meetings. Summarizes actions resulting from the meeting that are included in the Board summary.
Tracks and finalizes amendments to the Code of the County of Fairfax.
Coordinates letters documenting Board action for land use applications. Maintains log of land use applications.
Monitors the Board of Supervisors speaker inbox and responds to all requests. Creates the speakers list and inputs provided information. Manages video testimony process.
Monitors and responds to emails received in the Clerk to the Board inbox and answers calls received from the department's main phone line.
Schedule: Requires attendance at scheduled meetings which may extend past regular working hours.
Note: The assigned functional areas for this position include general administration, office management, public administration, and/or records management.
Employment Standards
MINIMUM QUALIFICATIONS:
Any combination of education, experience, and training equivalent to the following:
High school graduation and three years of experience providing administrative support in the assigned functional area(s).
NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.
PREFERRED QUALIFICATIONS:
At least two years of experience working with a board, authority, commission, or committee.
At least three years of experience and skills in note-taking, proofreading, meeting summaries, and proofreading documents.
At least three years of experience providing direct customer service.
Ability to exercise tact and discretion, interact in a friendly and customer service oriented manner.
Ability to work independently with limited direction and to handle competing tasks simultaneously.
Experience updating websites and utilize basic web development skills.
Experience and knowledge using For the Record (FTR)/Digital Court Recorder (DCR) software or equivalent audio recording system.
Proficiency using Microsoft Office Suite applications, including Word, Excel, and Outlook;
Excellent oral and written communication skills.
PHYSICAL REQUIREMENTS:
Work is generally sedentary and performed in a regular office environment. All duties performed with or without reasonable accommodations.
