If you want to grow your skills and develop your career, find out more at The PositionAdministrative Assistant - IP Job Summary JOB SUMMARY/PURPOSE The Intellectual Property {IP) Administrative Analyst/Assistant will provide IP-related project management and administrative support to the Global Intellectual Property (IP) function within the Imerys Group legal department.

The IP Administrative Analyst/Assistant responsibilities include: Designing Powerpoint presentations; Managing and optimizing IP department workflows/processes; Generating IP-related reports; Tracking and managing invention reports; Managing and Processing IP formalities globally (oath, declaration and assignment) documents, Managing correspondence related to patent and trademark grants, Scheduling and preparing travel and expense reports and Managing IP files. KEY TASKS AND RESPONSIBILITIES IP Assistant Role:

Powerpoint design expert able to design creative presentations based on intellectual property-related content provided by the intellectual property attorneys. Expert in Google Suite and Microsoft Office with ability to quickly learn and use new IT software Support IP Paralegal in IP administrative management Provide assistance to IP attorneys located in Roswell and Paris Generate various IP-related reports for IP team from the patent and trademark docketing system, including: Generate Key Performance Indicators (KPI) numbers for BUs Number of invention reports summited Number of patent applications filed Prepare summaries of intellectual property assets for internal meetings, due diligence and research purposes Prepare graphs and charts of IP statistics using Excel Prepare and coordinate legally compliant processing and filing of oaths, declarations and assignments for IP filings globally Send notices to inventors and key business contacts on new patent and TM grants processing and filing of oaths, declarations and assignments for IP filings Support in other IP department duties while suggesting and helping to implement improvements in IP department administrative processes as needed, including support in project management Coordinate and schedule cross-border meetings; make travel arrangements and prepare expense reports for the IP team members Maintain lists of on-site and off-site files; maintain paper files Education and Experience requirements:

College education Experience in project management/IT or legal preferred Knowledge, skills, abilities and other characteristics: Ability to multi-task under pressure while continuing to maintain a positive and calm attitude. Interpret and adapt administrative policies and procedures pertaining to branch general office management while adhering to sound administrative processes. Provides oversight of branch facilities issues (i.e. lease, utilities, insurance, copy machine, etc.). How you will do it * Answer all phone calls on main office phone lines including needs for operator assistance, provide system administrator support for telephone systems including voicemail, automated attendant and scheduling assistance of telephone programming, changes and trouble reporting. * Provide all general administrative support to include mail processing support, interoffice packets and overnight/courier service to area office and Milwaukee, maintain postage meter where applicable, and fax distribution, routine filing with adherence to record retention policies, maintenance of office supply stock levels. Provide shipping/receiving support for office, including UPS/courier duties. Arrangements for special meetings/training on an as required basis. * Provide a professionally-maintained office environment. Assist with coordination for repairs and maintenance of building and office equipment. Responsible for assets safekeeping, asset tagging and annual physical count. IN addition, directly supervisees and coordinates service providers to include: janitorial, lawn, snow removal, vending, etc... * Provide support for location staff requests, i.e. letters, memos, short proposals. * Provide installation contract booking support: * Bid/ Pre-bid support * Organizing & making copies of proposals, assembly, editing (when required) * Keeping current & relevant electronic case studies on hand and up to date * Maintaining a current proposal template for HVAC projects * Ensure customers are in our system, if not complete new customer add forms. * Assist with pre-bid packages, including creation of required documents (certificates of insurance, bid bonds, permits) * Booking Support: * Assist with obtaining management approvals for LOIs. * Complete booking after sales uploads contract from Salesforce, ensuring correct Yorkworks & Presto are uploaded * Ensure contracts are approved in CBS after submitted * Ensure contract holds are cleared within a timely basis * Post Booking: * Ensure pre-bid, contract documents, etc are uploaded in the HVAC Navigator * Send reviewed & signed contracts to customer with welcome letter. * Complete OCIP/ CCIP paperwork as needed. * Assist sales in scheduling/ coordinating turnover meetings. * Book/ debook change orders as needed. * Help keep the BIP clear of projects that are not going to book. * Coordinate and resolve invoicing issues with COA as needed. * May be responsible for new hire processing, including orientation, introduction to company benefits and processes, e.g., time and expense reporting. * Perform other administrative support as appropriate for the specific field location. * Ensure all business licenses are up-to-date for the area. * Request check requests for sales events & permits, ensuring proper paperwork & approvals are obtained. * Ensure smartsheet is updated with current company documents & contacts * Handle tasks related to trade show/ sponsorship events, including registration, material and promotional merchandise ordering, etc. * Maintain office supplies and promotional materials (brochures, flash drives, giveaways, etc.) What we look for Required I – High school diploma or equivalent, 0-2 year of experience.
