About the role:

This position handles diversified administrative duties for the Implementation department. Handles confidential matters and performs support functions which require a broad and comprehensive knowledge of Company policy and procedures. Structures and organizes activities of the supported leaders to facilitate the efficient operation of the departments. In addition the position is responsible for an employer worksite line of service and will provide execution of detailed project plans including tactical coordination of health center set up, participant flow, and ensuring appropriate and correct procedures are implemented and maintained. Provide subject matter expertise and consultative guidance where appropriate while implementing detailed, robust and repeatable activities to standardize center operational processes.

Essential Functions:

  • Supports travel scheduling for leadership team.

  • Assists with time keeping approvals and corrections.

  • Schedules and supports meetings, including taking and distributing meeting notes.

  • Coordinates candidate interviews and any related travel scheduling/expenses

  • Handles catering for in-office meetings.

  • Maintains weekly, monthly, quarterly and/or annual reports as requested/required.

  • Updates department level SharePoint sites.

  • Assists with and distributes department level newsletters.

  • Supports region/department company-wide meetings, initiatives and projects.

  • Handles ad hoc administrative requests and projects.

  • On behalf of the leader(s), meets with the direct reports to gather any information needed by the assigned leader(s). Prepares compiled information for the leader(s) to review. May recommend actions to be taken by the leader based on the gathered information.

  • Work with Implementation leadership for Training & Development to create and update training materials for on-going Health Center colleagues, as appropriate.

  • Work with the pre-implementation team in supporting RFP's and facility design administrative tasks as needed.

  • Provides leadership and communication to ensure knowledge transfer and best-practice sharing of site set up practices.

  • Communicates processes, policies, and corporate vision effectively.

  • Creates an environment of clear accountability for New Health Center colleagues and takes accountability for his/her own results.

  • Collaboratively performs a formal transition process from the Assistant Implementation Team to the Implementation Manager/Operations related to administrative and set up activities.

  • May participate in strategic planning session in order to effectively utilize resources of the entire team.

  • Participate in site assessments and gap analysis and provide recommendations for action plans where change or improvement is needed.

  • Facilitate or participate in Internal and External Project meetings in preparation for implementation.

  • Subject Matter Expertise in facility set up and Premise expectations for all facilities.

  • Actively participates in the health center set up.

  • Responsible for the completion of all assigned tasks in Project Plan designated as responsibility of the Subject Matter Expert in preparation, implementation and follow up as needed.

  • Monitors the status, assigns actions items and proactively identifies issues/roadblocks.

  • Conducts or participates in conference calls on a regular basis providing virtual collaboration in the implementation planning process and effectively communicates weekly project status and timeline update.

Job Requirements:

Education:

  • High school diploma or equivalent experience

Experience:

  • 3+ years of the experience in a Health related field.

  • Prior facility set up or process management required.

  • Training experience preferred.

  • Experience working in a virtual environment preferred.

Knowledge and Skills:

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite products to include Word, Excel, Power Point,

  • Ability to travel on a regular basis.

  • Ability to multi-task.

  • Detail oriented and well organized.

  • Excellent presentation skills, confident in all settings with individuals at all levels of the organization both internal and external.
