Duties will include: providing senior level administrative support to a single executive, physician or team; performing advanced administrative tasks such as preparing correspondence, reports and memos, responding to and screening telephone calls; requiring working knowledge of institution policies, practices and procedures; collecting, compiling and analyzing complex information of a highly confidential nature; performing special projects of a highly skilled nature; exercising considerable discretion and independent judgment; may serve as lead worker to lower level administrative staff in the same department; and other duties as assigned

RequirementsQualified applicants will possess: H.S. diploma or equivalent (GED); 3-5 years related office experience; accurate typing and data entry skills; excellent organizational skills; working knowledge of software used by department; proficiency in MS Office (Word/Excel/PowerPoint/Outlook) is a must; working knowledge of internet research tools; knowledge of general customer service practices; ability to deal effectively and diplomatically with team members and public; ability to work in a team environment; must be self-motivated and self-starter; demonstrate attention to details; self-starter and ability to work independently in a dynamic and rapid changing environment.

VIEW JOBS 8/25/2018 12:00:00 AM 2018-11-23T00:00 Summary: The Administrative Associate is a unique and diverse position in that it supports the Chief Executive Officer of a growing and dynamic firm but is also involved in most parts of the organization. This position will enhance the CEO's effectiveness by providing information management support and correspondence, but also assumes the function of Office Management, which involves organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Duties and Responsibilities: * Conserves CEO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. * Plans and coordinates arrangements for travel, conferences, workshops, networking and other events attended by CEO. * Reads and screens incoming calls, correspondence and reports; makes preliminary assessment of the importance of materials and organizes documents; and forwards appropriate materials to the CEO and staff. * Performs a variety of administrative and executive support tasks that are highly confidential and sensitive supporting the CEO. * Maintains calendar of CEO and others as requested. * Handles some personal matters for CEO. * Makes referrals to appropriate staff or provides requested information. Informs others of the CEO's position on various matters. * Produces a variety of documents, spreadsheets, charts, and graphics in final form. * Updates CEO on status of issues before scheduled meetings. * Establishes and maintains various filing, databases and records management systems. * Assist with proposal preparation and submission efforts * Conduct market research as requested * Participate in staff meetings * Assist with maintaining and completing company certification applications * Assist other team members with administrative support tasks as required * Welcomes visitors to the office and responsible for coordinating their visit with the appropriate staff member(s) including meeting preparation. * Responsible for office supplies, inventory levels, ordering and recommending actions to be taken on office expenditures. * Ensures office systems remain operational by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; evaluating new equipment and techniques. * Assists in developing, implementing and maintaining office policies by establishing standards and procedures. Education/Qualifications: * Bachelor Degree preferred * Excellent written and verbal communication skills * Strong critical thinking, analysis and resolution skills * Works well in a high-performing team environment * Must have excellent administrative, reporting, scheduling, organization, time management and presentation skills * Strong Microsoft Office experience required * Minimum 3 years of experience working in a small to midsize business environment * Minimum 2 years prior experience supporting executive level personnel a must Reporting Structure: * This position reports directly to the CEO Prospective employees will receive consideration without discrimination of race, creed, religion, gender, national origin, sexual orientation, disability, or veteran status.
