Duties will include: providing senior level administrative support to a single executive, physician or team; performing advanced administrative tasks such as preparing correspondence, reports and memos, responding to and screening telephone calls; requiring working knowledge of institution policies, practices and procedures; collecting, compiling and analyzing complex information of a highly confidential nature; performing special projects of a highly skilled nature; exercising considerable discretion and independent judgment; may serve as lead worker to lower level administrative staff in the same department; and other duties as assigned

RequirementsQualified applicants will possess: H.S. diploma or equivalent (GED); 3-5 years related office experience; accurate typing and data entry skills; excellent organizational skills; working knowledge of software used by department; proficiency in MS Office (Word/Excel/PowerPoint/Outlook) is a must; working knowledge of internet research tools; knowledge of general customer service practices; ability to deal effectively and diplomatically with team members and public; ability to work in a team environment; must be self-motivated and self-starter; demonstrate attention to details; self-starter and ability to work independently in a dynamic and rapid changing environment.

The position reports to the Program Director. The initiative, excellent verbal and written communication skills, flexibility, and good problem-solving skills are required to accomplish a broad range of administrative and academic support responsibilities. Essential Duties and Responsibilities: This position is responsible for direct support for the program administrator in the execution of their administrative duties. The position is responsible for answering phones, greeting guests, contacting faculty and visiting scholars to solicit information, maintain files, making appointments, prepare large mailings of form letters (mail merge skills), type correspondence, aid in unit wide communications (including electronic messages), maintain a program calendar of events, complete University forms, type reports, and other program support functions. The position provides support for program faculty, searches, and curricular activities. Consequently, the position has a close working relationship with other aspects of the School and University administration and staff. In addition to clerical functions, the position also helps arrange for guest (travel, accommodations, etc), catering of events, announcements, and event support. The position works very closely with the program director and assists by supporting the administrative effort. The position works closely with student information. This includes the preparation of materials associated with admissions, student awards, scholarship, fellowship, and assistantships. The position maintains a system for processing and monitoring this information. This position will also support clerical activities of the School as assigned by the Assistant Dean for Internal Affairs including filing, typing of correspondence and reports, labels, event support, etc. This position is also responsible for direct support at the front desk one day a week.
