We are seeking an experienced Administrative Assistant III to join our team in Los Angeles, CA. This role will report to the Administrative Team Leader to provide support to the engineering team.

Administrative Assistant III

Job Responsibilities

  • Provide administrative support to team leaders, project managers, and group

  • Assist team leaders with administrative tasks as assigned including work scheduling, time sheets, expenses, forecasting and end of month reporting

  • Compose, draft, type and/or format correspondence, reports, presentations, spreadsheets and specifications following prescribed formats or establishing new formats

  • Interface with Accounting, Marketing, and Human Resources as required

  • Input data into proposal tracking and contact management system (Deltek) and generate reports

  • Input data into contract management system (BST)

  • Provide backup for logging submittals and RFI's (Newforma)

  • Assist with travel arrangements

  • Assist with implementation of initiatives or projects as requested

Job Requirements

This is a great opportunity for an Administrative Assistant, who thrives on a collaborative environment. In addition, someone who manages difficult issues with a clear head finding the solutions most beneficial to all concerned will be an ideal fit for this role.

Additional requirements:

  • High School diploma with College or business school degree preferred

  • 5 - 8 years of equivalent work experience

  • Highly proficient knowledge of Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)

  • Working knowledge of Bluebeam and Skype for Business

  • Familiarity with Deltek, Newforma and BST, a huge plus

  • Prior experience with an Architectural or Engineering firm, a huge plus

  • Ability to work with minimal supervision and to work in a time-sensitive work environment

  • Excellent communication, organizational, interpersonal skills and ability to collaborate in a team environment

  • Project a professional image both in-person and on the phone

  • Flexibility to work overtime when needed
