Provides high-level support to the Executive Director in a wide array of administrative and programmatic functions. Prepares board, commission or other executive meeting agendas and minutes.

Writes and edits documents, including letters, reports, and instructional documents. Drafts and updates, as needed, administrative policies and procedures. Creates and maintains filing systems, both electronic and physical.

Makes travel arrangements and reservations for CJC board members and staff. Assists in preparing Agenda Item Summaries and tracks through system. Prepares communications, such as memos, emails, invoices, reports and other correspondences.

Prepares department payroll and purchasing orders. Uses computers to generate reports, drafts CJC Board Meeting Agendas and transcribes meetings minutes. Conducts research as directed, drafts reports and PowerPoint presentations as it relates to administrative role.

Serves as the Department's payroll timekeeper or liaison. Serves as the Department's liaison to update the Department website and social media sites on a regular basis. Coordinates and participates in special tasks and projects as assigned by the Executive Director. Completes assignments with considerable independence under limited supervision.

QUALIFICATIONS:

Graduation from high school or an equivalent recognized certification; minimum of five (5) years of responsible office experience, which includes six (6) months reviewing, overseeing, and leading the work of others. Equivalencies: Associate's Degree AND three (3) years of related experience, which includes six (6) months reviewing, overseeing, and leading the work of others; Bachelor's Degree AND one (1) year of related experience, which includes six (6) months reviewing, overseeing, and leading the work of others.

PREFERENCE FOR THREE (3) YEARS OF EXPERIENCE WITH: Project development and coordination.

Also desirable: Experience developing and generating reports using MS Word/Excel/PowerPoint and financial systems such as Advantage, Time Server or Time Entry Application (TEA), and/or PeopleSoft, Human Resources Information System (HRIS) (must specify on application).
