Description of Job

Division of Gaming:

Ensures that limited gaming is conducted honestly, fairly, and competitively, and is free from criminal and corrupt elements.

What we do:

Administers new technologies in slot machines and associated equipment as these technologies relate to the gaming industry. This entails setting the policy direction that the Colorado Division of Gaming will take regarding whether a new technology will be allowed or prohibited in the Colorado limited gaming jurisdictions.

A typical day in the life of an Administrative Assistant III:

Application Processing

  • Conducts background checks on applicants/licensees, interviews and consults with applicants on problems that may prevent licensure in order to be in compliance with suitability requirements.

  • Follows up on application deficiencies via written requests to applicants and makes licensing decisions in accordance with rules, regulations, and procedures.

  • Processes applications such as changes of ownership applications, modifications of premises, changes of trade name and changes of location after the investigations have been completed. This position will also mail copies of newly issued Division licenses to local licensing authorities, produce licenses approved for changes of trade name and create and mail new licenses for licensees that have been approved for a production tier increase and/or decrease.

Primary Duties:

Administrative Support

  • Disseminates information and responds to licensing inquiries and requests from the public, licensees, license applicants, Division staff, and others, through interpersonal contact, telephone contact, written correspondence, and email.

  • Checks voicemail of main line returns calls and/or refers complaints to the appropriate section(s) or the Division Director.

  • Performs front counter function which include but is not limited to: checks in occupational and business license applicants; receipts funds received for applications; answers a multi-line phone system; answers questions from the public, local licensing authorities and other stakeholders; Tracks and follows-up on all correspondence with licensees; refers licensees and the public to the Division's website and advises where questions can be emailed.

Investigations Support - Fingerprinting

  • Electronically fingerprint applicants for occupational and business licensure as well as applicants whose suitability is established by the Division.

  • Ensure that fingerprints meet CBI/Federal Bureau of Investigation (FBI) standards for classification.

Payment Processing

  • Receives payment from applicants concerning applications.

  • Reconciles cash, check, credit cards and money order receipts from cash drawers with computerized cash processing system and prepares daily deposit of receipts in accordance with the Accounting and Financial Services (AFS) and the Division's policies, procedures and/or directives.

MINIMUM QUALIFICATIONS:

Experience Only:

Must meet one of the following or any combination of experience/education to meet the qualifications:

Three (3) years of general clerical experience in an administrative or office support role demonstrating high level decision making and multitasking.

General Clerical work experience is typically performed by office clerks and/or administrative assistants this includes, but is not limited to tasks such as:

  • Experience providing exceptional customer service in-person or in email; interfacing with a variety of people from many levels within the organization and community.

  • Data Entry including: entering information into a program or database (appointments, contact information, customer records)

  • Regular, daily work responsibilities utilizing equipment and software used in offices (E-Mail, Microsoft Office programs (Word, Excel, PowerPoint), Google Apps, etc.)

  • Regular, daily work responsibilities utilizing computer systems, scanners, printers, copiers, fax machines and other technologies

  • Typing professional emails, letters, reports, briefings, forms, memoranda, etc.

  • Reviewing and comparing data for accuracy and completeness. Gathering specified information and compiling routine reports

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years.

Necessary Special Requirements:

  • Applicants must be able to successfully pass a background investigation.

Preferred Qualifications:

The preferred candidate will possess the following qualifications:

  • Previous experience conducting background checks utilizing national databases.

  • Demonstrated excellence in customer service; to include serving a diverse clientele.

  • Excellent interpersonal skills; to include communicating with others via verbal conversation and written communication.

  • Previous experience using a multi-line phone system.

  • Data entry skills.

  • Ability to work and accept supervision.

  • Cash handling Proficiency in MS Word and Excel.

  • Ability to follow written and oral instructions; multi-task; work with and maintain confidential information Ability to work in a high-stress environment.

Conditions of Employment with the CDOR:

Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.

As a condition of employment with the CDOR, all personnel must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations, therefore all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy. Final candidates must also complete a successful background investigation and reference check prior to appointment. Certain positions based on duties may require scheduled background investigations.
