As an Administrative Assistant based in our Irvine office, you will be an important member of the Human Resources (HR) team. You will provide complete administrative, organizational and support service to an HR business partner team, from daily calendars to meeting management and projects. You will also have the opportunity to learn more about the Human Resources function through responsibilities related to people data and analytics, preparing and developing presentations on talent priorities, coordinating compensation plan administration and supporting the overall function through new hire engagement and onboarding.
Leveraging systems and reporting capabilities to gather data and information and pulling together into easily digestible charts, diagrams and narratives (through excel, etc.)
Addresses conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Performs other related duties as assigned or required
Proactively anticipating and coordinating schedules and needs of team members and businesses they support
Coordinating and scheduling complex meetings and events involving multiple stakeholders and locations. This includes developing meeting agendas, reserving meeting space and arranging all details.
Exercising judgment to identify optimal communication channels (phone, in-person, email) with internal clients ensuring clear, concise communication
Developing presentations through PowerPoint and other trending applications, identifying the optimal tools and structure and staying abreast of emerging technologies and communication mediums
Pulling together data and reports related to people data and information with the ability to identify and highlight key trends
Onboarding new associates
Coordinating travel arrangements and creating expense reports.
2+ years in a corporate environment
Command of Microsoft Office tools (Word, Excel, PowerPoint, etc.) with an aptitude and interest for learning and using emerging technology tools
Creative thinker with an achievement orientation and ability to work independently
Appetite for ongoing learning, development and challenges
Must have a polished demeanor and ability to work with people at all levels of internal management and staff, outside clients and vendors
Outstanding attention to detail with good follow-up skills, proactive, stays ahead of requests.
Ability to provide high quality, consistent services to the various leaders within the department
Ability to manage multiple tasks / projects and deadlines simultaneously with meticulous attention to detail
Driven towards success and achievement-oriented
Quick study and agile learner with a desire to dig into numbers and data
Ability to analyze data to identify and highlight key trends and conclusions
Demonstrated success supporting multiple senior leaders in a corporate environment.
Experience and or aptitude for electronic calendaring (Outlook preferred), coordinating complex travel arrangements,

Bachelors degree strongly preferred
