  • High school diploma or GED

  • Evidence of attention to detail, as demonstrated in a grammatically correct, articulate, and concise cover letter addressed to the McCoy College Advising Search Committee

  • Demonstrated knowledge of common office software applications, e.g., Microsoft Office Suite. (Must indicate specific software applications in which you have experience on the application, resume or cover letter)

  • Demonstrated interpersonal skills in varied work situations and working as a team member.

  • Experience or ability to monitor and balance a budget

  • Evidence of experience working with difficult situations, time pressures and multitude of interruptions

  • Demonstrated ability to write coherently and precisely

Preferred Qualifications

  • Demonstrated experience in an institution of higher education

  • Demonstrated administrative/office experience

  • Demonstrated knowledge of Texas State policies and procedures

  • Demonstrated supervisory or leadership experience

  • Demonstrated experience with Internet Native Banner (INB) Production and/or Document Management (BDMS) and/or SAP

Job Description

The Administrative Assistant II, under supervision of a director, provides administrative and clerical support to the McCoy College Advising Center, supervises student employees, and manages front desk operations.

Job Duties

  • Oversee front desk operations and foster a professional/student-centered environment in the reception area

  • Open and close the office at set times

  • Greet, screen, and route visitors in a courteous manner

  • Assist students, parents, faculty, staff, and visitors by answering questions and/or referring to appropriate campus resource

  • Answer multi-line telephone, screen and transfer calls, take messages, and refer to other offices as appropriate

  • Maintain multi-user electronic calendar and schedule appointments for advising center staff

  • Recruit, screen, and hire staff of student employees

  • Provide initial and ongoing training to staff of student employees

  • Create student employee schedules; track and approve pay for student workers

  • Monitor advising center inbox and respond/forward emails appropriately

  • Order office supplies, track expenditures, and reconcile budget

  • Monitor inventory of office technology and assist with replacement purchase process

  • Submit facility-related requests, as well as track and perform follow-up

  • Develop and maintain accurate and comprehensive records and files according to the record retention schedule

  • Coordinate travel arrangements and track all travel related requisitions and expense reports

  • Other duties as assigned
