The University of Texas Permian Basin's Department of Student Success welcomes applications for the position of Administrative Assistant II

Salary Range

$33,500.00 to $44,330.00 depending upon qualifications.

Essential Functions

The Administrative Assistant Under limited supervision of a assigned supervisor, this position provides personal clerical and administrative services and assistance, of moderate complexity, requiring the use of judgment and discretion on a periodic basis. Keeps official records and executes administrative policies.

1.Supervises the workflow for the department administrative or clerical staff; assigns duties and prepares documentation for payroll

2.Supervises various office management functions, including scheduling and preparing staff departmental meetings, ordering and monitoring inventory and office supplies, and coordinating facilities and mail service activities

3.May develop and implement methods and procedures for monitoring work activities, and recommends measures to improve methods, performance, and quality of product or service

4.Provides clerical and administrative support for management and department staff, including initiating, drafting, and proofreading correspondence, preparing letters or memorandums, disciplinary reports, hiring requests, and purchase requisitions; compiles, generates and distributes reports, as needed or requested

5.Files correspondence and other records; responds to correspondence independently when possible; routes priority mail to director.

6.Acts as a liaison for management by effectively interacting with faculty and campus personnel.

7.This position may be responsible for ensuring a timely and accurate processing of personnel action paperwork; maintains attendance reports for classified and A and P personnel; acts as custodian of university documents and records.

8.Arranges programs, events, conferences, trainings, and meetings by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget

9.Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.



  1. May supervise or perform the reception activities, which include meeting and greeting visitors or customers, answering telephones, giving general information

  2. Maintains a high degree of confidentiality on all sensitive information this position is privy to; manages supervisor calendars and independently schedules appointments and performs other assigned duties as required.


Required Qualifications

1.Associate's Degree*

2.Three (3) years of administrative assistant experience.

  • Additional experience will be considered in lieu of required education.

Schedule

Generally, the hours for this position are Monday through Thursday, 7:30 - 5:30 pm; Friday, 8:00 am - 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.

Standard Working Conditions

1.Able to lift various materials up to 25 pounds on an occasional basis.

2.Able to bend, crouch, and reach continuously.

3.Physically able remain seated, frequently to continuously.

4.Able to remain standing up to 15% of the time.

5.Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.

6.Standard working conditions may differ depending on department and occupation
