The College

CMC is a comprehensive, public, open-access dual-mission institution offering 136 academic programs ranging from bachelor's and associate degrees, specialized certificates, and a wide range of online, non-credit and lifelong learning courses, as well as extensive concurrent enrollment opportunities in close partnership with neighboring school districts.

Over 15,000 students attend CMC annually, and 40% of degree-seeking students earn a certificate or degree every year. The college's Latinx enrollment has doubled in six years to 29%, making CMC a federally-designated Hispanic Serving Institution (HSI). CMC courses are highly personal and many are experiential by design, each with a maximum registration of 25 students.

Colorado Mountain College campuses are located in Aspen, Carbondale, Breckenridge, Dillon, Steamboat Springs, downtown Glenwood Springs, Glenwood Springs-Spring Valley, Leadville, Rifle, the Vail Valley, and Salida. Of these locations, three are "traditional" residential-Spring Valley, Leadville, and Steamboat Springs; students in Breckenridge, Edwards, Spring Valley, and Steamboat Spring have access to college-owned apartment-style housing. CMC campuses are close-knit communities, on average serving between 1,000 - 2,000 students.

The majority of the college's financial support comes from local property taxes, not tuition or state revenues. Consequently, CMC is uniquely positioned to be entrepreneurial, nimble, mission-focused, and responsive to community and workforce needs. The college's Central Services office, which provides administrative support to all campus locations, is located in historic downtown Glenwood Springs, the town from which CMC originally launched in 1965.

The position

An Administrative Assistant plays a crucial role in ensuring the efficient day-to-day operation of academic affairs professionals at the college. Their responsibilities include addressing administrative requests, maintaining cooperative relationships, managing projects, conducting sensitive studies, analyzing data, overseeing records, coordinating meetings, handling correspondence, and developing data-gathering methods. Overall, they contribute to the smooth functioning of the organization through the support of academic affairs leadership and associated personnel.

The Administrative Assistant II performs customary clerical/technical duties in support of academic schools, business or College operations and management. Duties are performed at a fully operational level but with more complexity and/or confidentiality, using either established standard guidelines and/or procedural methods, or improvising solutions and alternatives.

This is a part-time position with a maximum of 28 hours per week. This position is primarily remote, but will require travel to various campuses in support of Dean and School activities.

This position is the primary support contact for the Dean of the School of Communication, Arts, and Media, and the Dean of the School of Science Technology, Engineering, and Math. This position must reside within the CMC service district with preference given to individuals residing near Steamboat Springs. Duties include:

  • Establish and maintain cooperative working relationships with faculty members, staff and students, vendors, other academic affairs support staff, and the public to ensure that established goals are met, and problems are resolved.

  • Plan, implement, and control general and special projects assigned by the Dean, ensuring timely completion. Recommend and act on organizational arrangements and administrative procedures to help achieve academic affairs goals as directed by the Dean.

  • Perform special studies or investigations that require the analysis of requests and facts of a sensitive nature; maintain confidentiality and make recommendations regarding appropriate action. Conduct research: evaluate data, prepare reports containing findings, conclusions, and recommendations.

  • Compile and analyze statistical, financial, and other data (Informer, Workday, PowerBI, etc.).

  • Maintain and manage essential records and files for ready access by the Dean.

  • Coordinate and assist with specialized and program accreditation.

  • Maintain Dean's calendar; coordinate meetings and travel arrangements; prepare and communicate meeting agendas when appropriate, and reconcile expenses

  • Participate in meetings taking notes and minutes as required.

  • Manage staff office supply requests and submit requisitions; work with staff to submit travel authorizations and process invoices.

  • Handle the frontline school-wide communication (in-person, written, email, and telephone requests and inquiries) and participate in communication (email and formal) out of the Dean's office.

  • Develop data-gathering methods including surveys.

  • Perform other duties as assigned.

Hiring pay rate is $22.55 per hour. Benefits include retirement contribution, annual and sick time, mental health resources, and tuition benefit.

Pre-requisites for Position (Qualifications Standards)

Education and experience sufficient for the needs of the position. Examples may include a Bachelor's Degree and two year related work experience, Associate's Degree and three years related work experience, or High School/GED and four years related work experience, or equivalent education and experience that will provide the necessary knowledge, skill and abilities to perform the functions of the position.

Special Skills or abilities related to position: Knowledge of a variety of standard administrative and business methods and procedures; standard Microsoft Office software, and familiarity with other automated systems software. Ability to read, write, speak, and understand English well; operate variety of office equipment; proficient in computer applications, including word processing, spreadsheets and electronic mail; multi-task; meet deadlines; strong verbal, organizational, and interpersonal skills.
