Job Summary

Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests. Transmit information or documents using a computer, mail, or facsimile machine.

Operate standard office equipment other than computers. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. Handle incoming and outgoing mail, including date stamping and distributing incoming mail.

Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Enter and locate work-related information using computers and/or point of sale systems.

Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, assist individuals with disabilities, and thank guests with genuine appreciation.

Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

We are currently expanding our Warren, MI office and looking for a: Administrative Assistant II Job Summary: This position reports to the Director of Revenue Cycle Operations, providing administrative support to the Director and other Anesthesia Division executives and leadership personnel. This position is responsible for various duties including, but not limited to, the position requirements below: Position reports to: Director of Revenue Cycle Operations Responsibilities: * Provide immediate onsite support to Director of Revenue Cycle Operations. * Create, update, and distribute meeting agendas, prepare documents for meetings, take minutes for meetings, and perform other pre- and post-meeting tasks as requested. * Arrange for conference calls/webinars/tanberg. * Assist in the onboarding of new employees. * Prepare materials needed for meetings, conference calls, or on-site visitors and make sure the conference rooms are ready for meetings, conference calls, webinars, and/or visitors. * Arrange, organize company meals on or offsite for meetings and special occasions. * Greet visitors in a polite, helpful manner, determine nature of business or appointment, and notify the appropriate individual. * Answer in-coming phone calls for the Administration Team in the Warren Office. * Make out-going phone calls for the Administration Team in the Warren Office. * Understand and effectively use the telephone system to receive and route designated incoming calls to the appropriate team or individual (this is not a "receptionist" role, but some phone triage is needed). * Receive and accurately distribute documents, mail, packages, and telephone messages to the appropriate team or individual. * Manage calendars and make sure all meetings are listed at the right date/time and verify all meetings are logged on the public calendar if use of the conference or board rooms is needed. * Monitor and report on operational metrics, as directed * Prepare weekly Anesthesia Metrics report * Update the RCM Anesthesia Divisions organizational charts as changes occur. * Update the RCM Anesthesia Divisions Telephone Directory by employee, by functional area. * Maintain various company calendars (e.g. Birthday/Anniversary, HR Manager/Coordinator, and Corporate Calendar). * Promptly respond to JIRA tickets and support other IMX team members in responding to JIRA tickets. * Maintain organization of corporate documents in file cabinets and storage areas. * Drop off packages at USPS, FedEx, UPS, etc… to ensure prompt delivery. * Administer employee/visitor badging process. * Must be available to work overtime on occasion as requested by management. * Maintain a professional appearance, demeanor and confidentiality at all times. * Maintain acceptable levels of attendance and punctuality as specified in company and departmental policies. * Display a positive attitude as well as professional, polite, considerate and courteous conduct and treatment of others in the course of duties. * Interact with clients and senior management. * Compliance with Intermedix policies * Other duties as assigned Qualifications: * Two years' experience as an administrative assistant * High School diploma required; Associates Degree preferred. * Type a minimum of 70 words per minute * Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards Skills/ Knowledge Requirements: * Proficient in Excel, graphs, trends, Microsoft Word, PowerPoint. * Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. * The ability to read, speak and write in the English language in a clear and concise manner. * Detail oriented. * Organizational skills a must. * Professional. * Confidential. * Ability to work independently with minimal supervision. * Ability to work with supervisors who are offsite. * Ability to multi-task effectively under stress, prioritize and meet deadlines with strong attention paid to detail of work produced. * Able to manage multiple concurrent tasks. * Flexible to handle unexpected daily challenges. * Very strong written and verbal communication skills. * Proficient computer skills.
