This role REQUIRES you to work Pacific Standard Time schedule

Provides secretarial/administrative support to the manager band or above. Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc. Receives, screens and directs incoming calls, visitors, mail and email. Maintains files, records, calendars and diaries. May arrange business travel, coordinate meeting arrangements, and/or track expenses.

  • Performs general administrative duties for department as required, including preparation of correspondence and documents with confidential information (e.g. email, presentations, reports, etc.).

  • Schedules meetings, maintains calendars, and coordinates events; creates and distributes agenda and meeting summary.

  • May provide support to other administrative and clerical assistants.


  • H.S. Diploma
  • Required
  • Associate's Degree
  • Preferred
  • 3 years of experience in an administrative role.

VIEW JOBS 9/28/2021 12:00:00 AM 2021-12-27T00:00 Job Purpose The Sales Assistant will support and maintain administrative tasks as needed for the Regional Vice Presidents (External Wholesalers) in the field. This includes utilizing Oracle for expense reporting and Non-Cash Compensation (NCC) reimbursements and any related reconciliations or inquiries. Must have the ability to coordinate multiple administrative functions with little to no supervision. Essential Responsibilities * Drafts correspondence and documents which may include confidential information pertaining to the company and associates. * Assists with administrative support including creation and maintenance of reports, charts, spreadsheets, documents and presentations. * Schedules appointments with reps on behalf of the EW using various tools, Outlook and Salesforce. * Reviews documentation/receipts to ensure accuracy and completeness. * Collects and maintains file of receipts to coordinate expense report submission. * Creates and submits expense reports for external wholesalers. * Processes/submits NCC reimbursements to ensure complete documentation, accurate general ledger coding, and compliance with firm policies. * Performs research to respond to internal and external inquiries in a timely manner. * Works closely with Accounts Payable and Oracle Support to ensure accurate information is provided. * Provides periodic reports and communications regarding required deadlines and outstanding items. * Answers inquiries pertaining to expense reporting, NCC reimbursements. * Schedules and maintains travel arrangements, including airfare, transportation and hotel. * Maintains marketing, office and promotional supplies as well as orders new supplies. * Assists Manager with special projects. * Establishes, maintains and updates files and records. * Coordinates mailings on a as needed basis internally and externally. Knowledge, Skills & Abilities * Attention to detail. * Ability to multi task and prioritize independently. * Exceptional typing skills. * Strong organizational skills * Microsoft Windows and Microsoft Office computer skills. * Writing skills, including the correct use of grammar and sentence structure. * Professional verbal and written communication skills. Education and Experience * H.S. Diploma or equivalent required. * Associate's Degree preferred. * 1+ years of experience in an administrative role preferred. * Experience with Oracle expense preferred.
