General Schedule:

Position typically works Monday-Friday from 8am to 5pm.

Position Overview & Job Duties:

Provide comprehensive administrative support to ensure efficient operation for several department professionals and the 2BLeaders Program. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks. The administrative assistant will be responsible for a range of clerical, organizational, and communication tasks, contributing to the overall success of the department and program while enhancing the experience of students, faculty, and staff. Must work well with others and perform other duties as assigned.

Administrative Support:

  • Manage and maintain the department's schedules, including meetings, and appointments.

  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.

  • Works with minimal instruction/supervision; uses independent judgment when appropriate; keeps abreast of university and college policies/procedures.

  • Ensure compliance of 2BLeader students based on program criteria through the university Banner system.

  • Work with 2BLeader Directors to increase social media presence for potential, current, and alumni students.

  • Delivers materials to and from other campus buildings and offices.

Office Management:

  • Oversee daily office operations including managing office supplies and equipment.

  • Ensure the maintenance of office records and files, both physical and digital.

Student and Faculty Assistance:

  • Greets and screens visitors and phone calls; relays messages, responds or takes necessary action or directs to proper individuals for resolution.

  • Assists in resolving departmental level complaints, inquiries, and problems.

Event Coordination:

  • Assist in planning and organizing department and 2BLeader events, retreats, dinners, workshops, etc.

  • Coordinate logistics such as venue booking, catering, materials preparation, etc.

Financial Administration:

  • Process and track departmental and program expenses.

  • Assist with budget tracking and reporting as needed.

Qualifications/Experience Required:

General education or vocational training and 3+ years' relevant experience or equivalent combination of education and experience.

Qualifications/Experience Preferred:

Bachelor's degree. Experience in a higher education environment.

Knowledge/Skills/Abilities:

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Canva experience a plus. Strong organization and multitasking abilities. Excellent written and verbal communication skills. Ability to handle sensitive information with confidentiality. Ability to work effectively both independently and as part of a team. Commitment to providing high-quality customer service.
