Mitsubishi Electric US, Inc. has an excellent opportunity for an Administrative Assistant in the Elevator and Escalator Division in Kirkland, CA.
Responsible for call handling, dispatching, processing payables, data entry, invoicing, and maintaining administration records. Provide other administrative assistance as directed by Regional or Departmental Management.
Data entry and provide reports from the "Total Elevator Service" computer database.
Maintain "Total Elevator" database.
Process payables as necessary, including creation of purchase orders and processing of invoices for payment to vendor.
Facilitate input of construction time and verify construction tickets.
Answer telephones and dispatch or route calls as necessary.
Clerical work including filing, copying, faxing, etc. and preparation of documents as directed.
Maintain weekly electronic maintenance time cards for regular maintenance and callbacks.
Maintain all ICFR reports and documents required for "Total Elevator Updates"
Complete weekly billable callback reports.
Manage customer online billing systems.
Initial employment period will require full time presence on construction jobsite, and travel to jobsite may be required periodically moving forward.
Performs other job functions as assigned.
Highly Customer service oriented and a team player.
Excellent computer skills including a thorough working knowledge of Microsoft Access, Windows, Word, Outlook and Excel required.
Ability to learn and become proficient with Total Elevator Service data base in a short period of time.
Sound oral and written communication skills required.
Ability to work accurately and expediently.
Bachelor's Degree highly preferred.
