Description: Provides administrative and operational clerical support to department managers and/or staff.

Responsibilities may include answering phones and relaying messages/information to both departmental staff and callers; scheduling/calendaring meetings and conferences; maintaining filing systems; ordering/stocking office supplies; opening/sorting mail. Types/proofreads/composes correspondence; creates graphs and presentations; researches issues as needed.

Essential Functions:

Provides moderately complex administrative support to multiple managers and/or department staff members to include the following: Answers phones, takes messages, and greets KP visitors or outside vendors.

Maintains calendars and schedules conference rooms.

Drafts, edits, proofreads and prepares correspondence; creates reports, graphs, and presentations.

Inputs data and maintains established databases; gathers and researches information.

Exchanges information with functional employees, external vendors and representatives in support of ongoing business services.

Provides additional moderately complex administrative support as needed to other staff members.

Basic Qualifications:

Experience

Minimum three (3) years of administrative assistant experience supporting at the manager/department level, or related experience.

Education

High School Diploma or General Education Development (GED) required.

License, Certification, Registration

Additional Requirements:

Applies acquired job skills and company policies, and procedures; ability to learn and apply end-user software applications to complete assigned tasks.

Uses knowledge of department policies and procedures to complete moderately difficult tasks.

Organizational skills to manage department files and incorporates process improvements to ensure files are updated and easily accessible (includes soft copies on the dept. shared drive).

Basic to intermediate knowledge of two or more of Microsoft Office Suite applications: Word, Excel, PowerPoint and/or Access, depending upon department or business needs.

Working knowledge of email and office equipment (fax, copier, etc.).

Ability to maintain department calendars and coordinates department meetings and conference rooms.

Preferred Qualifications:

Associate's degree preferred.
