JOB DESCRIPTION

The Administrative Assistant II will assist the Executive Assistant with collecting, depositing, and distributing mail. Answering incoming phone calls and track email reminders for board meetings.

In addition, will maintain general organization within work station. Will assist the Executive Assistant with any special projects and event planning and other duties as assigned.

COMPENSATION

$23.22 - $30.23 per hour. Non-exempt; 40 hours/week; Eligible for overtime. Compensation based on education and experience.

REPORTS TO

Executive Assistant.

QUALIFICATIONS

Required: H.S.

Diploma and at least 2 years' general office experience, plus computer software skills with Microsoft Office. Must be able to work in fast-paced work environment, demonstrate a high level of discretion and confidentiality and possess excellent oral & written English communication skills.

Drivers license for at least two years and driving record acceptable to insurance carrier.

Valid California driver's license; auto in safe operating condition; auto liability insurance; good driving record; criminal record clearance; proof of authorization to work in the United States as required by Immigration and Reform Act of 1986. Ability to work independently with minimal supervision.

Preferred: BA degree; bi-lingual Spanish; accounting knowledge; experience with Adobe Photoshop, Adobe InDesign, and OneSite.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Collects, deposits, opens, processes, and distributes mail, answers incoming phone calls, takes and directs messages, dispatches and distributes faxes, acts as courier for administrative offices and deposits checks for Accounting as necessary.

  • As requested by administrative and program managers, prepares general agency correspondence and reports, and assists in preparation of training materials and manuals, files administrative work.

  • Maintains general office organization at Pearl St Admin Building, maintains office equipment (including fax machines, copiers), maintains postage, office supplies, and janitorial supplies

  • Assists in maintaining cleanliness of downstairs areas and conference room.

  • Coordinates arrangements for agency-sponsored events and meetings (e.g., annual retreat, staff birthdays), including scheduling, reservations, menu, correspondence, etc.

  • Tracks Board attendance and sends out e-mail reminders. Orders and picks up meals for Board members as needed, fills in as necessary when Executive Assistant is unavailable to prepare Board materials, attend meetings, and take minutes.

  • Other duties as assigned.

PHYSICAL REQUIREMENTS

Ability to: operate a motor vehicle; climb stairs; read data on a computer screen; read documents being word-processed, etc.; answer phones and communicate with staff, residents and agency visitors; meet the requirements of the classification and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed. Capable of the following extended activities: standing, sitting, climbing stairs. Capable of the following intermittent activities: lifting up to 25 pounds and bending in the performance of infrequently performed office duties.
