POSITION SUMMARY : Performs a variety of administrative functions for the department, including answering phones, greeting visitors and procuring supplies for the department.
Coordinates scheduling within the department which includes web based meetings and arranging travel plans for department members when necessary.
Assists with the scheduling of departmental interviews.
Oversees database administration, which includes running monthly departmental budget reports, and maintaining a shared filing system within the department.
Project work may consist of participating in workgroups and taskforces and holding training sessions with peers.
MINIMUM EDUCATION REQUIRED: High School graduate.
PREFERED EDUCATION: 2 year degree in secretarial science or the equivalent combination of education and experience is preferred.
MINIMUM EXPERIENCE REQUIRED : One year of secretarial experience.
Strong organizational, interpersonal and computer skills.
Excellent communication skills using correct grammar and vocabulary.
PREFERED EXPERIENCE: 2+ years of administrative assistant experience and 2 year degree in secretarial science or the equivalent combination of education and experience is preferred.
OTHER SKILLS REQUIRED: Ability to work effectively with others.
Excellent typing speed and accuracy essential.
Proficient in all Microsoft Office products (Outlook, Word, Excel, Access, PowerPoint). OTHER SKILLS PREFERED: Strong time management skills with the ability to prioritize multiple projects and duties.
Ability to learn new software when appropriate.
Desire to take on job challenges and opportunities as they arise.
Excellent customer service skills.
Ability to analyze and interpret data to produce meaningful information to support management decisions.
Ability to lead on assigned projects, within or beyond the department.
Ability to provide guidance and advice to less experienced administrative assistants.
PHYSICAL REQUIREMENTS: Flexibility, dexterity, visual acuity, hearing acuity.
Able to work sitting at work station, using a keyboard, working in front of a video display monitor and answering the phone most of day.
Moderate walking through out the facility.
Light lifting of files and manuals, some bending to file.
Office environment, well-heated and well-ventilated.
Ergonomically correct work station.
