Position: Administrative Assistant II

Location:Department of Public Works - Sewer Department

Salary: $47,731 - $61,221

Essential Duties and Responsibilities:

Responsible for performing a wide range of clerical duties including but not limited to providing customer service to occasion walk-ins or answering the department's telephone, maintaining personnel records, assist in the processing of the department payroll, accounts payable, and responds to customer complaints, answering the department's telephone and filing papers. Examines documents for correctness, prepares forms and other documents; compiles a wide range of statistical reports, posts and maintains general department records. Maintains a record of department expenditures and purchases, Assists with the preparation and administration of the department's payroll. Processes abatement requests for utility billing and tax lien abatements. Researches and reviews sewer and drain connection applications. Accepts and processes cash payments from customers.

Works under the direct supervision of the DPW Commissioner or Director of Operations or designee.

Work Environment:

The work environment involves everyday discomforts typical of a municipal office setting subject to frequent interruptions. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant.

Requirements:

Minimum Qualifications:

Education and Experience: Associates Degree in an administrative field or a journeyman's level of trade knowledge; a minimum of three to five (3-5) years of office work experience including payroll in a municipal setting; or any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.

Knowledge, Skills and Abilities:

Knowledge:

Common policies, practices and procedures of the department and office operations; applicable laws and regulations pertinent to position functions including the policies and standard operating procedures of the department. Knowledge of office software (word processing and spread sheet applications) in support of department operations. Working knowledge of modern clerical procedures utilized in the maintenance and review of financial accounts and records; Working knowledge of office terminology, procedures and equipment.

Abilities:

Ability to interact effectively and appropriately with the public and other personnel, perform multiple tasks and maintain confidential information; ability to acquire knowledge of laws and regulations pertinent to position functions; ability to learn municipal accounting programs.

Skills:

Proficient computer skills, mathematical skills, recordkeeping and clerical skills, written and oral communication skills; strong customer service skills.
