Examples of Work

Provide support to the Accounting unit by answering the phone and routing callers; opening and distributing mail; and scheduling meetings, preparing meeting agendas/notes, and coordinating conference room schedules. Coordinate records management activities for the Financial Services Division according to the Records Retention Policy and retrieve records/documents/files from storage as needed.

Answer inquiries from providers, contractors, or individuals regarding payments received. Enter and update banking information used by the CFS NFOCUS system for making payments to providers and other aid recipients. Enter initial information in OnBase to set up accounts receivable or accounts payable requests.

Scan and enter garnishment requests for Support Claims Processing through the OnBase payment process. Prepare necessary OnBase payment requests for the approval of the appropriate manager to pay invoices for the Financial Services Division. Log checks received in a shared spreadsheet or through the OnBase Receipts/Deposits processing process.

Receive and distribute returned State Warrants to the appropriate Division/Facility requesting warrants for mailing. Apply over payments checks to accounts receivables in MMIS. Maintains the Accounting Unit's Share Point site.

Qualifications / Requirements

REQUIREMENTS: Experience in office management; or in developing and implementing work policies, processes, and procedures; or in monitoring and organizing program, administrative, or technical activities. OR Post high school coursework in: administration, management, accounting, finance, planning, policy analysis, administrative/management analysis, operations research, program evaluation, research, or similar fields.

PREFERRED: Associates OR Bachelor's Degree in Accounting or Finance field.

Experience in data input in Enterprise One, and proficiency in Microsoft Office. Experience with OnBase data program. Practical knowledge of general accounting processes desired.

Knowledge, Skills and Abilities

Skills in: Advanced use of Microsoft Word, Excel, OnBase, E-1, Share Point and Outlook.

Gathering and compiling data into spreadsheets or databases. Knowledge and Ability to: Approve and Post data to ledgers, journals, databases and/or worksheets to establish and maintain records of all financial transactions. Reviews accounting transactions for completeness and accuracy.
