Under minimal supervision provide secretarial and general administrative support to the Mathematics Associate Dean. Works and communicates with all levels of administration, faculty, staff and students in all areas that affect the Department. Work with and safeguard confidential documents while maintaining confidentiality. Supervises work study students and part-time employees. The assistant will support the Associate Dean in budgeting, keep Associate Dean abreast of operational activities, ensure the efficient operation of the Department's Office, complete all administrative aspects of the hiring process.

Work closely with the Operational Specialist to make decisions within the scope of the job, be proactive in putting together calendars, responses, follow-up items, and carry on work of the office in the absence of the Associate Dean. Compile, compose and edit quality finished memorandum, correspondence, reports, etc.

Essential Responsibilities and Duties

Office Support:

Budget management and reporting to the Associate Dean; payroll-related duties such as adjunct training tracking, payment, and submitting reimbursement requests, management of faculty timesheets, tracking available hours for part-time employees, tracking project hours; assist with the processes of hiring and separating department employees; help organize and support events such as Math Counts, AMATYC Student Math League, SheTech, SLCC Math Fun Talks, class review sessions, and meetings within the department; support Faculty Tenure Evaluations through tasks such as tenure tracking, managing faculty files, scheduling observations and meetings; assist with travel including booking flights, hotels and necessary accommodations, register faculty for conferences, create/manage Chrome River reports; support Math Department administrative staff, Project Manager, and Associate Dean with administrative tasks.

Student Support:

Cover the office by being first line support by answering all inquiries, requests, or concerns (walk-in, call-in, or email), help students find the information and/or support needed, disseminate general and accurate information to students, communicate issues with Associate Dean, prioritize and close out all issues in a timely manner.

Faculty Support:

Support faculty by coordinating all aspects of the relationship between the faculty and the department; pick up exams from the Testing Center and scan them to the course instructors; provide/order instructional supplies including textbooks, manage faculty access to MS Teams Channels and Canvas Team Sites as needed, find substitutes, work with the other Math staff to provide sufficient coverage of the office by being first line support by answering all inquiries (walk-in, call-in, or emails), disseminate general and accurate information to faculty, communicate issues with Associate Dean, prioritize and close out all issues in a timely manner.

Other duties as assigned.

Essential Responsibilities and Duties Continued Minimum Qualifications

  • Two (2) years post high school education.

  • Two (2) years full-time, paid, related work experience.

Trade off 1:1 in experience/education requirement.

Part time experience may be considered on a prorated basis.

Preferred Qualifications

Associate degree in Math, Science or Business.

Two (2) years of direct, paid, full-time experience in an office setting.

Knowledge, Skills & Abilities

  • Extremely organized and have great communication skills.

  • Ability to determine, learn and use technology to enhance the efficiency of the department.

  • Ability to track large amounts of data and track hours and training of over 100 adjunct faculty.

  • Knowledge of banner tables that track student through the registration process.

  • Ability to problem solve issues with student registration and resolve or contact department where resolution can be made.

  • Mass communicates to all faculty (approximately 100 individuals) and respond and resolve requests.

  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.

  • Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
