Position Title: Administrative Assistant I
Department: Advancement Division
Reports To: Associate Vice President for Advancement
Appointment: Full-Time; 37.5 hours per week; 12 months
Status: Non-exempt (Hourly)
Characteristic Duties and Responsibilities
Provide administrative support to the Associate Vice President for Advancement, the Bradley Fund, the Director of Donor Relations, and Advancement Services to enhance overall operational efficiency.
Oversee the preparation and execution of mailings through the USPS.
Act as a key liaison between the Advancement Department and other university departments, fostering strong communication and collaboration.
Jointly responsible for preparation and management of the Advancement Services Team budget (e.g. monitors expenses against budget allocation, holds Advancement Services Team accountable to university travel/expense standards and prepares monthly travel card and expense reports per the university's policies, procedures and timelines.)
Facilitates data capture, data queries, and data reporting to support the cultivation, solicitation, and stewardship of key prospects/donors. This includes, but is not limited to, developing of new processes, management of data-related timelines, and generation of both routine and specialized summary reports.
Participate in training and development available through the university and professional fundraising associations/organizations.
Additional Responsibilities
Actively assist with other Advancement Division events/activities as needed.
Represent the Advancement Division on ad-hoc or standing university committees, as appropriate and with the approval of the Associate Vice President and/or the Vice President for Advancement.
Perform other duties as assigned that contribute to the overall success of the Advancement Office.
Required Qualifications
High School diploma or GED.
3 - 5 years of office or related experience.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google, savvy with virtual meeting platforms (e.g. Zoom, Google Meet), and experience with database data entry and reporting.
Demonstrates excellent organizational skills with ability to manage multiple tasks with competing/overlapping timelines/deadlines.
Strong interpersonal, collaboration, planning, problem-solving, time management and oral and written communication skills.
Demonstrates ability to work independently as well as in a collaborative fashion.
Maintains confidentiality and has good judgment when managing sensitive information.
Ability to promote and foster a highly professional and welcoming office environment for Bradley's internal and external constituents.
Ability to multitask, prioritize workload, and meet deadlines while keeping a flexible approach to the workplace.
Preferred Qualifications
Experience with Blackbaud Raiser's Edge NXT systems.
Previous experience within higher education, alumni relations, development or nonprofit environments.
Mental/Physical Requirements
Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is performed in normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet.
