Under general supervision, performs moderately difficult and varied administrative assistant work that may require judgment on format and some preliminary editorial efforts prior to setup, as it relates to Admissions and Registration.

Examples of Duties

Essential Responsibilities:

A. Prepares a variety of moderately difficult materials, including correspondence, records, reports, lists, and forms which may require the exercise of independent judgment; checks work for accuracy; assures the correctness of spelling, grammar, and punctuation

B. Establishes new filing units and maintains control of items out of file; records statistical information as required.

C. Performs duties using data processing, data entry, and other computer systems and software, which may include web page management, as required.

D. Performs customer service duties; answers telephones, replies to emails, greets visitors, arranges appointments, directs telephone and personal callers to proper parties; coordinates room reservations and related activities; and may disseminate department or institution information.

E. Receives, sorts, opens, stamps, and distributes incoming mail.

F. May take and transcribe brief dictation, minutes of meetings, and possible testimony at hearings.

G. Responds to inquiries, problems, and concerns from staff, students, and visitors.

Specific Responsibilities:

A. May orient and train new employees; provides instruction in operation of various office machines.

B. Processes College Credit and Continuing Education admissions and registration material by providing service at the registration counter, and possibly working evenings on and off campus.

C. Processes admissions, registration and related requests, including checking necessary information, correct tuition payment, closed class status, refunds, and solving problems as they relate to admissions and registration. May be involved with processing of withdrawal forms for canceled classes.

D. Engages prospective and current students through computer chat software and assists prospective students with information and guidance on testing needs.

E. Assists the Specialist I and Administrative Assistant II with processing of new student applications, coordinating communications management, and other processes such as correcting duplicate records.

F. Scanning program specific documents into student records (i.e. CTE specific documents).

G. Assists with updating of student records from incoming high school and college transcripts.

H. Responsible for scheduled times both in the front of the registration area as well as the back of admissions.

Minimum Qualifications

A. High school diploma or equivalent with ability to read, write, perform basic arithmetic, and follow verbal and written instructions required.

B. One year or less related work experience required.

C. Computer experience using Microsoft Office or comparable applications required.

Computer Skills Level II required - able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets. Certification as Microsoft Office Specialist in appropriate applications or demonstrated equivalent skills required.

D. Excellent oral and written communication skills required.

E. Demonstrated proficiency in English required.

F. Ability to communicate in other languages desirable.

Supplemental Information

Hourly rate of pay range: $10.89//hr. min - $13.64/hr mid - $16.33/hr. max

Work schedule is: 9:30 a.m. 6 p. m. Monday through Thursday and
8:30 a.m. 5 p.m. on Fridays.

Demonstrates proficiency using data processing, database software programs, and other computer software programs as required; monitors and updates computerized program records; develops and maintains comprehensive computer records system, as well as web page management as required. D. Performs customer service duties; answers telephones, greets visitors, arranges appointments, and directs telephone and personal callers to proper parties; coordinates room reservations and related activities; and may disseminate department or institution information. E. Receives, sorts opens, stamps, and distributes incoming mail. F. May take and transcribe complex dictation, minutes of meetings, and possibly testimony at hearings. G. Responds to inquiries, problems, and concerns from staff, students, and visitors. H. Anticipates and initiates actions regarding departmental operations. I. Assists with developing a budget and maintaining records for the department or division; gathers information for supervisor decision making; order supplies and capital items as needed. J. Makes minor and/or preliminary decisions regarding administrative detail using judgment based knowledge of college policies and procedures. K. Serves as backup to the Executive Secretary to the President and the Board of Trustees as needed. L. Serves as the Administrative Assistant by supporting all efforts of the College & Career Readiness Program. Specific Responsibilities: A. Maintains and updates handbooks and instructional documents such as the Non-tenured Faculty Evaluation Handbook, the Faculty Handbook, the Adjunct Faculty handbook, the Administrative Handbook. B. Assists with the preparations for faculty in-service days including letters to faculty. C. Prepares the academic calendar and the internal calendar for approval. D. Composes draft content to support the AQIP accreditation process. E. Prepares and reviews Board materials for approval by the vice president of Instructional and Student Success. F. Works collaboratively with other administrative assistants to support the president's office, instruction and student success. G. Provides administrative assistance to the president's office as needed. H. Maintains Faculty Association contracts. I. Maintains data relative to course scheduling and class cancellations. J. Serves as lead administrative assistant to maintain the class schedule file for the college's credit division, including loading schedules into the computer and modifying data in the file. K. Maintains Resource25 file for the college's credit division class schedule, including making initial division reservations and loading the academic calendar. L. Serves as representative to the Colleague Student Team committee. Minimum Qualifications A. High school diploma or equivalent required. Associate's degree/Vocational certificate in a professional, specialized, or general field preferred. Bachelor's degree with knowledge of specialized principles or techniques normally obtained through a four-year college/university academic program or equivalent in-depth specialized training directly related to the type of work being performed is desirable. B. At least three to seven years of related work experience required. C. Computer experience using Microsoft Office or comparable applications required. Able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets; able to merge documents; able to create and use labels with envelopes; able to create, format; able to create data bases; able to download data bases into applications to create reports; able to create queries and extricate information for reporting.
