Under general supervision, performs moderately difficult and varied administrative assistant work that may require judgment on format and some preliminary editorial efforts prior to setup, as it relates to Admissions and Registration.
Examples of Duties
A. Prepares a variety of moderately difficult materials, including correspondence, records, reports, lists, and forms which may require the exercise of independent judgment; checks work for accuracy; assures the correctness of spelling, grammar, and punctuation
B. Establishes new filing units and maintains control of items out of file; records statistical information as required.
C. Performs duties using data processing, data entry, and other computer systems and software, which may include web page management, as required.
D. Performs customer service duties; answers telephones, replies to emails, greets visitors, arranges appointments, directs telephone and personal callers to proper parties; coordinates room reservations and related activities; and may disseminate department or institution information.
E. Receives, sorts, opens, stamps, and distributes incoming mail.
F. May take and transcribe brief dictation, minutes of meetings, and possible testimony at hearings.
G. Responds to inquiries, problems, and concerns from staff, students, and visitors.
A. May orient and train new employees; provides instruction in operation of various office machines.
B. Processes College Credit and Continuing Education admissions and registration material by providing service at the registration counter, and possibly working evenings on and off campus.
C. Processes admissions, registration and related requests, including checking necessary information, correct tuition payment, closed class status, refunds, and solving problems as they relate to admissions and registration. May be involved with processing of withdrawal forms for canceled classes.
D. Engages prospective and current students through computer chat software and assists prospective students with information and guidance on testing needs.
E. Assists the Specialist I and Administrative Assistant II with processing of new student applications, coordinating communications management, and other processes such as correcting duplicate records.
F. Scanning program specific documents into student records (i.e. CTE specific documents).
G. Assists with updating of student records from incoming high school and college transcripts.
H. Responsible for scheduled times both in the front of the registration area as well as the back of admissions.
A. High school diploma or equivalent with ability to read, write, perform basic arithmetic, and follow verbal and written instructions required.
B. One year or less related work experience required.
C. Computer experience using Microsoft Office or comparable applications required.
Computer Skills Level II required - able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets. Certification as Microsoft Office Specialist in appropriate applications or demonstrated equivalent skills required.
D. Excellent oral and written communication skills required.
E. Demonstrated proficiency in English required.
F. Ability to communicate in other languages desirable.
Hourly rate of pay range: $10.89//hr. min - $13.64/hr mid - $16.33/hr. max
Work schedule is: 9:30 a.m. 6 p. m. Monday through Thursday and
8:30 a.m. 5 p.m. on Fridays.
