Your Specific Responsibilities:

This position reports to the Public Information Specialist II-SES. This is an administrative position providing support to DOH-Lake Nursing Director and Human Resources Department. This position requires performance of complex and professional administrative work, which requires independent judgement, organizational skills, coordination abilities and decision-making capabilities.

Reviews, analyzes and prepares drafts of memoranda and correspondence. Maintains files, prepares correspondence, policy & procedure updates, and other records and logs as needed. Applies knowledge of office procedures, agency rules, regulations, policies and provides guidance to support various programs.

Obtains, prepares, compiles, distributes and maintains information for monthly, quarterly and annual report. Responsible for maintaining licenses and permits. Act as liaison to multiple programs within DOH on behalf of the Division of Nursing.

Maintains monthly and on-call calendars for clinics and staff in the Division of Nursing. Coordinates travel arrangements and processes travel authorizations and reimbursements. Receives and reads incoming mail, screens items which can be handled personally and forwards to appropriate personnel.

Arranges and schedules for meeting space and prepares agendas, and notifications as needed. Attends meetings as requested and acts as recorder, taking, preparing and distributing minutes.

Purchases supplies and maintains inventory. Coordinates collection and presentation of data as necessary.

Assist Nursing Division with coordinating and collecting data for Quality Improvement projects. works on special projects, workgroups, and planning committees.

Performs other duties as assigned.

Required Knowledge, Skills, and Abilities:

Knowledge of office procedures and operation of office equipment including but not limited to telephone, copier, fax, calculator, scanner, computer and printer. Customer service skills and class specifications (KSA's).

Qualifications:

Minimum -

  • Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

  • Minimum of five years' Administrative Experience.

  • Have intermediate or above proficiency in Microsoft Word & Excel.

  • Verifiable work experience working in a medical setting.

  • Verifiable work experience of Purchasing and maintaining inventory.

Preferred -

  • Work experience coordinating travel

  • Experience working in an HR setting.

  • Previous Department of Health (DOH) experience
