The Administrative Assistant follows established procedures and guidelines to provide timely and effective secretarial support to an office, business unit, department, or other organization. Currently this role is set up to support three executives (1 SVP and 2 VPs), who are enterprise-facing leaders.
The successful candidate answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant performs varied activities and moderately complex administrative/operational/customer support assignments. Performs computations. Typically works on semi-routine assignments.
The Administrative Assistant transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software. Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.
Manages the appointments and schedules of applicable staff. Often there is a need to coordinate meetings across large audiences of senior executives, and requires strong communication and organization skills to effectively manage large meeting scheduling at scale. Uses office equipment such as photocopiers, faxes, and printers.
Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory. Decisions are typically focus on interpretation of area/department policy and methods for completing assignments. Works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction.
Work schedule requires availability during primary office hours, due to the need of extensive coordination, and there is a degree of flexibility on work hours at the manager's discretion. Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.

Preferred Qualifications
Associates or Bachelor's Degree
Proficient in Microsoft Excel and Access
Previous administrative or related experiences
Experience with internet research and proof-reading/editing

Pay Range
The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
$43,400 - $59,600 per year
