Performs various administrative duties requiring initiative and knowledge of the functions to support the organization such as filing, organizing documents, organizing events.
Prepares reports from information selected and generated from different sources on the basis of general instructions, using independent judgment to create or obtain pertinent data.
Schedules appointments, assembles necessary background material for scheduled meetings; makes arrangements for meetings and conferences as required.
Develops knowledge and skills in the electronic systems at HFM&T such as Outlook, Egencia Travel System, Microsoft Office software, Continuous Improvement Database, Sharepoint, etc.
Maintains office supplies.
Coordinates internal staffing relocation and onboarding setup.
Initiates Travel Approval, Travel Reservations, and Expense Reports.
Answers questions and requests which require detailed knowledge of office procedures and/or policies that may require the knowledge of business systems, applications, or other departments
Tracks staff vacations and out of office commitments.
Handle department classified and confidential information as needed, including editing and releasing of SOPs and other departmental process information.
Receives, coordinates production, prepares shipping documentation, and tracks program-specific orders for training materials for use domestically and internationally.
Conducts activities in a safe and healthy manner and works in accordance with established ES&H requirements to ensure the protection of associates, the public, and the environment

You Must Have:
Must be a US Citizen due to contractual requirements
Associate degree or combination of education and experience (minimum one year of experience in lieu of one year of education)
Minimum of 2 years of experience in an administrative support role in a corporate or engineering environment
2+ years of experience using MS Office Suite desktop applications, such as MS Word, Excel and PowerPoint, Outlook.
Bachelor's Degree from a 4-year college or university
Demonstrated effective communication (Written and Verbal)
Excellent analytical and organizational skills
Experience with electronic purchasing applications.
Three or more years of experience in an administrative or customer service position working in an engineering/ manufacturing environment.
Ability to plan and organize, demonstrate excellent time management and support many individuals at once.
Demonstrated attention to detail and the ability to work with limited supervision and guidance; self-motivated
Well-developed interpersonal skills including communication, respect for others, optimistic attitude, and the ability to listen and adjust when necessary.
