Overview
POSITION SUMMARY STATEMENT:
The Administrative Assistant position will be 100% onsite at our state of art Innovation and Manufacturing facility in here Winston-Salem, NC. Will be responsible for providing administrative support to the Director of the production operations departments at department.
Duties will include: typing memos, faxing, copying, answering phones, filing, scheduling appointments, making travel arrangements, special projects and light analytical support. Will also provide support to other department's employees as needed. This position may require overtime /occasional flexible hours.
DETAILED RESPONSIBILITIES/DUTIES:
Open and distribute in-coming mail to department at least twice a day. Treat all in-coming mail marked as confidential with importance and direct to addressee immediately.
Pick-up and distribute incoming faxes for the department at least twice a day.
Maintain daily calendar for the department, which includes scheduling meetings and making arrangements for appointments. Provide notification of appointments, changes to calendar and any necessary reminders.
Prepare all correspondence accurately with a professional appearance. Proofread all materials prior to submission for approval and distribution.
Make travel arrangements on an as needed basis no later than 7 days prior to date of travel (under normal circumstances).
Prepare expense reports, compile receipts, proofread, and submit to the Director prior to obtaining appropriate signatures and submitting to Accounts Payable.
Serve as a liaison between the department and various corporate staff and distributors as well as any clients, applicants, and vendors in a courteous, cooperative and professional manner.
Generate purchasing requisitions in the system for representative groups.
Manage uniform, personal, and shoe lockers.
Assist in closing out Manufacturing and Packaging work orders as needed.
Order and maintain inventories of supplies for site.
Assist with site wide communication meetings, tours, events, and visitors.
Other duties as assigned.

Skills:

Strong organizational and communication skills
Ability to prioritize workload for effective implementation
Proficiency in Microsoft Word, Excel, PowerPoint and Outlook

PREFERRED QUALIFICATIONS:
Knowledge of Access, Visio, Quick Expense, and Oracle
5 years' experience as an Administrative Assistant in a large corporate environment.
Some college coursework
