County Administration is seeking an Administrative Assistant to provide a variety of administrative support activities including: executive leadership team support, contract management, board meeting preparations, serving as the primary contact for certain required roles, annual countywide policy review, Human Resources and payroll contact, and other general office management tasks.

In addition, the position will provide administrative support to smaller departments and will coordinate with support staff for the Deputy Administrator and Assistant County Administrators. The Administrative Assistant will be part of an executive support team that interacts with all levels of county leadership and the County Board.

Location and hours:

This position is hybrid and will be performed on-site at the Hennepin County Government Center at 300 South 6th Street, Minneapolis, MN 55487, and remote as job duties require. Typical work hours will be Monday through Friday between 8 a.m. to 4:30 p.m. with some flexibility. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.

New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

In this position, you will:

  • Provide administrative support for County Administration.

  • Serve as lead for the County Administration portion of contract tracking and signature process.

  • Prepare and distribute materials for executive leadership team and other County Administration sponsored meetings/events.

  • Triage and track resident feedback from public website.

  • Act as a data steward and conflict of interest coordinator for County Administration.

  • Serve as phone coordinator.

  • Collaborate with colleagues to achieve work results.

  • Perform several ongoing tasks for County Administration.

  • Provide administrative support to smaller departments that report up through County Administration.

Need to have:

  • One of the following:

  • Four or more years of experience in general administrative work relating to the support of departmental/organizational operations or in a specialty area appropriate to the position.

  • Note: General administrative work is defined as the administration and/or management of programs, policies, and/or budgets.

  • Bachelor's degree or higher in business administration, public health, public administration, communications or another field appropriate to the position.

Nice to have:

  • Experience:

  • Drafting and executing contracts.

  • Preparing meeting materials for executive leaders.

  • Utilizing computer programs including Microsoft Office (Teams, Word, Excel, PowerPoint, Visio), Qualtrics, SharePoint and Adobe.

  • Leading and supporting administrative projects for an organization.

Ability to:

  • Establish and maintain effective working relationships within and outside the organization.

  • Perform general administrative work.

  • Enter information into software using a high level of attention to detail.

  • Communicate verbally and in writing.

Knowledge and understanding of governmental structures or executive boards. About the department:
