Orange Park Medical Center is aggressively seeking an Administrative Assistant for the Step-Down Unit

The Administrative Assistant performs secretarial support duties for Step Down Service Line. This position provides a wide variety of support including common administrative duties, maintenance of educational records and files and notifying staff of needed educational requirements, scheduling rooms, classes, meetings, interaction with vendors, customer service and community relations. Other responsibilities include fostering good public relations, patient and employee satisfaction, and sustaining open communication with ancillary departments, physicians, staff, patients, families, and the public.


  • Responsible for hospital/department committee meetings as assigned

  • Assists the Director, Managers, and the Educator in the preparation of meeting agendas, packets and minutes

  • Responsible for data compilation for projects and performance improvement needs as well as maintenance of assigned records and files

  • Assists in follow up phone calls to discharged patients and maintain records and logs of patient follow up

  • Responsible for completion of payroll, entering corrections to payroll on daily basis, preparing variance reports, assisting as needed with PARS, staffing requisitions, and maintaining appropriate records of employee status changes

  • Assists with staffing needs on the fourth floor. This will include tracking of employee over time, absences, and callouts. This will require data collection, trend reporting and recording

  • Assists when needed with order entry and basic, direct patient care

  • Other responsibilities will include ordering of supplies and assistance in maintaining expenses allotted for departments

  • This is a full-time benefit eligible position; day shift with rotating weekends*

  • The position requires knowledge of computer programs (i.e. Excel, Word) and medical terminology

  • Must have the ability to retrieve data from the hospital's information system(s) along with the ability to communicate information in both written and verbal forms

  • The ability to interact with the public and medical staff is required

  • Written telephone and manual dexterity skills are required for this position

  • High School Diploma or GED preferred

  • One year of experience preferred

This company is a VEVRAA Federal Contractor. Position Goal: Assist Physician(s) in Clinic with patient care activities. Complete administrative duties as required. Position Responsibilities: * Familiarity with what the physician requires for a productive clinic. * Review and maintain charts to ensure completeness/EMR guidelines w/reviewing clinicals. * Escort patient from waiting area to triage area, ranging from those patients with full mobility to limited mobility. Constant monitoring of schedules and patient flow during clinic to ensure maximum efficiency/organization. * Review initial vital signs evaluation to include any lab specimens * Remove staples, sutures, and assist with minor surgical procedures as needed * Assist with placement, removal, and instruction of devices such as splints, immobilizers, braces, and bandages * Clean and sterilize equipment using approved techniques * Clean and stock exam rooms and change sheets on exam tables after each patient * Communicate restrictions and instructions to patients * Follow up calls to patients after surgery or other invasive procedure to document their progress * Communication with outside facilities for scheduling tests or surgery to include having any necessary orders, pre-cert, or referral information ready * Completion of insurance, disability, and FMLA forms in a timely manner * Assist in administrative duties as required, to include but not limited to: collection of past due balances when scheduling surgery, check in/check out; scheduling appointments, procedures, and surgeries, pre-cert procedures, insurance verification, data entry, posting charges, and assisting secretaries. * Other duties as assigned. Experience: CMA or one year of relevant experience required. Requires computer experience. Knowledge of AthenaNet and medical terminology preferred. Education: High School or equivalent required, and MA certification a plus Special Qualifications: Must be able to work independently and have working knowledge of HIPAA requirements. Maintains BLS certification. Knowledge of the health care field and medical specialty.
