The purpose of your role as an Administrative Assistant

  • Hold compliance of processes in project manager manual

  • Facilitate meetings required as part of the project manager's manual

  • Develop and confirm compliance of project manager's checklist

  • Coordination and distribution of weekly reports

  • Updating project labor for weekly workforce meeting

  • Typing meeting minutes

  • Scheduling appointments

  • Follow up calls to project managers and foremen

  • Manage customer survey process

Responsibilities We're seeking a full-time Administrative Assistant to join our team, As an Administrative Assistant you will: * Enthusiastically greets members, guests, and prospects on the phone and in person. Know members and team members personally by first name. * Operating multi-line Siemens OptiPoint console phone system forwarding inquiries to appropriate staff * Responding to general inquiries and providing accurate and current information for all classes, programs, activities, promotions and building functions * Displaying tact and patience when dealing with interruptions * Registering participants for classes and programs * Collecting, recording and balancing monies received for classes and programs * Contacting appropriate staff when guests request a tour of the facility and providing current membership information for tours * Enrolling and processing new member applications ensuring that all information is complete and correct * Resolve team and/or participant or operational issues using effective customer service and leadership skills. * Consistently offer the highest level of personalized member customer service while maintaining a positive, enthusiastic and helpful attitude * Greet and welcome new fitness center members, assist with membership enrollment and front desk operations * Respond to Member's concerns, suggestions and complaints in a timely, professional and consistent manner. * Other duties as needed Qualifications Required Qualifications: * High school diploma * Minimum one year retail and/or hospitality experience required. Preferred Qualificaitons: * Undergraduate college degree preferred. * Excellent outstanding engaging personality a must * Excellent verbal communication skills. * Basic knowledge of computer applications (Word, Excel, Outlook). * Current CPR/AED and First Aid Certification.
