Location: Dartmouth College, Hanover New Hampshire

Position Description: Provides administrative support to a department or business unit.

Reports To: Department Head

Essential Duties & Responsibilities*:

  • Act as liaison between supervisor and others (ie. Departments, external contacts, subcontractors, clients, etc.)

  • Oversee/process day-to-day administrative items; mail, overnight mail, packages, expense reports, checks, etc.

  • Compose and/or edit/distribute letters, memos, reports and other departmental correspondence on time. Keep track of when recurrent reports are due and meetings are scheduled, including maintaining lists of recipients and/or participants.

  • Process orders and reports as required and respond to requests for information.

  • Process invoices for payment.

  • Set up and maintain files.

  • Order and maintain all office supplies.

  • Maintain calendars with vacation dates, schedule/confirm meeting dates, etc.

  • Qualifications:
    Two or more years' experience in general office responsibilities and procedures.

    Working knowledge of Microsoft Word and Outlook; Excel and PowerPoint helpful. Must be able to work independently and as a part of a team.

VIEW JOBS 4/21/2019 12:00:00 AM 2019-07-20T00:00 Essential Functions: * Perform duties under moderate supervision with intermediate to advance proficiency in administrative skills * Generates and maintains MD(s) schedules including clinical and administrative responsibilities with follow-through such as necessary arrangements, accommodations, reservations and applications. * Responsible for scheduling clinic appointments, OR and Cath lab cases, and all necessary testing associated with these appointments and procedures. * Responsible for all patient scheduling, including office visits, consultations, diagnostic test and procedures, admissions and surgeries. Completes all appropriate requisitions and paperwork. Assumes responsibility for obtaining results for MD to notify patients. * Answers and screens incoming calls. This includes triage of calls in a courteous manner, handling calls when possible, and when necessary, taking messages and utilizing proper forms in a legible and accurate manner. * Responsible for overall patient account management. * Responsible for complete referrals. * Completes all insurance follow-up tasks following clinics. * All other duties as needed and requested by Director. Basic Qualifications: * Minimum of high school diploma * Minimum of 3 years medical office or administrative support experience required * Some additional training in office systems or other post high school education preferred. Associate's Degree or higher level educations preferred, but not required * Knowledge of practice operations and standards * Understanding of procedures including filing, copying, scanning, printing, faxing * Understanding of Microsoft Word, Outlook, and PowerPoint * Phone Skills: Ability to use phone system (answer and screen calls, put on hold and transfer calls) handle more complex calls and give more detailed information * Verbal Skills: Ability to interpret information as appropriate, answer more complex questions in the most professional manner and communicate in a professional, courteous, clear and concise manner * Organization Skills: Ability to manage work processes in a neat and orderly way and to sort and alphabetize. Ability to manager multiple tasks effectively, follow established protocols, and work within systems * Writing Skills: Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note) and to take complete and accurate messages. May respond directly on behalf of manager/provider without direction or instruction. * System Skills: Ability to type and enter data effectively and at a more advanced level. Intermediate level computer skills including the ability to use word processing, spreadsheet, database and presentation applications * Intermediate understanding and use of medical terminology * Intermediate comprehension of billing and fiscal information * Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with the Joint Commission and HIPAA * Works within legal, regulatory, accreditation and ethical practice standards relevant to the position and as established by BWH/Partners; follows safe practices required for the position; complies with appropriate BWH and Partners policies and procedures; fulfills any training required by BWH and/or Partners, as appropriate; brings potential matters of non-compliance to the attention of the supervisor or other appropriate hospital staff.
