Answer phones on Monday and Tuesday and fill in at other times as necessary.
Update the website with new cases and remove old information.
Process incoming and outgoing mail for the office.
Assist the President with correspondence and emails.
Scan documents and files.
Send medical documents to doctors’ offices.
Write thank you cards to referral sources and doctors’ offices.
Assist with timesheets during payroll week.
Other miscellaneous tasks as needed.
Human Resources
Schedule employees and clients utilizing the HHA Exchange software.
Filling call-off and request-off shifts.
Post open positions through social media and recruiting websites.
Respond to applicants and arrange for interviews.
Assist with file development for all new hires, including online screenings, background checks, reference checks, and file reviews.
Gather information for employee surveys and reporting.
Conduct and analyze data from exit interviews.
Operations
File Enterprise Incident Manager and Event Reporting System reports through the Long-Term Living/State of PA and PA Department of Health websites.
File any first report of injury for injured employees.
Update logs on daily activities utilizing Excel files.
Complete client weekly assessments.
Document and complete any client complaints.
Coordinate with service coordinators and referral sources regarding active and new clients.
Work with office staff on placement of new hires with clients.
The Requirements
Associate degree in a related field or equivalent work experience.
Experience working in a professional office setting is required. Experience working in a similar industry is preferred.
Must be a driven, self-starter.
A service mindset with excellent written and verbal communication skills.
Able to meet deadlines, with strong interpersonal and problem-solving skills.
The Location
The office is located NW of Pittsburgh, closer to the airport area. When training is completed, hybrid work arrangements may be considered.
The office is open Monday – Friday, 8:30 – 5:00 (some flexibility on hours).
