Job Summary:
The Administration Assistant provides administrative support to the accounting, operations, procurement and marketing functions while performing the duties of receptionist.

Essential Functions include but are not limited to the following:

  • Answers phones and greets and directs visitors to the facility.

  • Processes, sorts and distributes both incoming and outgoing mail as well as other deliveries and outgoing shipments.

  • Provides administrative support to the Senior Accountant, Plant Management, Corn Procurement and DDGS Marketer such as filing, sorting, and data entry.

  • May assist Grain Receiving by Weighing in grain and distiller trucks.

  • Back up/support Accounts Payable and Receivable Accountant.

  • Acts as back up to the CMMS Assistant as needed.

  • Monitors and process local managers credit cards and process expense reports.

  • Coordinates employee programs.

  • Orders and keeps inventory of office supplies.

  • Runs office errands and makes travel arrangements for both outgoing and incoming staff members.

  • Other projects and duties as assigned by management.



  • Detail-oriented; proficiency for accuracy; dependable; positive attitude; team player

  • Strong MS Office experience and proficiency with developing and using spreadsheets and/or databases

  • 2 years accounting/business degree or 3-5 years accounting experience preferred

  • Ability to multi-task and take ownership of assigned projects

  • Good communication skills, both written and verbal

  • High school diploma or equivalency with some post-secondary education in the area of accounting or business administration preferred

  • One or more year(s) of experience in an administrative role in a fast paced environment

Work Environment/Physical Demands:

  • Valid driver's license required

  • Ability to meet physical demands of the job includes but is not limited to: frequent sitting, standing, frequent computer use, frequent telephone use, some lifting or moving up to 30 lbs.

Examples of Work Develops policies and procedures and complies with administrative regulations for managing the institution's inmate records to include court evaluators, and county safekeepers. May assist custody in operation of the admissions office. Determines inmates' parole eligibility date and tentative release dates by applying good time laws and court orders. Consults with agency staff on records related issues. Responds to inquiries concerning inmate time calculations, sentence structure, procedures for determining the application of good time laws and release dates ensuring confidentiality requirements are met and state and federal are complied with. Coordinates with the Records Administrator ensure the inmate records data base and the correctional tracking system are being properly utilized. Attends legal and court hearings to provide testimony regarding inmate time calculations, release dates, application of good time laws, content and accuracy of inmates records. May maintain inmate personal property to include identification cards, drivers license, social security card. Qualifications / Requirements REQUIREMENTS: Bachelor's degree in related field plus one year experience in Records Management, including supervisory responsibilities OR Associate's degree in related field plus three years' experience in Records Management and one year supervisory responsibilities OR five years' experience in Records Management and one year supervisory responsibilities. PREFERRED: Experience in Microsoft Office applications, CTS, PIMS and NCJIS. OTHER: Applicants accepting a job offer must pass the following pre-employment exams in this order: a medical exam, and at a randomly announced time, pass a drug test.
